Overview

Assign Users to Regions lets you grant or revoke a user's access to every property in a region with a single click. It's available in Admin Centre > Users > [User Name] > Property Access whenever your business has regions configured. If you don't use regions, the Property Access tab looks and behaves exactly as it does today.


Getting Started

Enabling the feature

  1. Go to Admin Centre > Product Releases.
  2. Find Assign Users to Regions in the list.
  3. Toggle it on. The change applies immediately to every admin at your business.

Where to find it

  1. Open Admin Centre > Users.
  2. Click a user to open their profile.
  3. Go to the Property Access tab.

If your business has regions configured, you'll see a tree view with regions as parent rows. If you don't have regions configured, you'll see the flat property list you're used to.

Turning it off

You can disable the feature any time from the same toggle in Admin Centre > Product Releases. Existing access grants are not removed — you simply return to the flat property list view.


Granting a Region to a User

  1. In the Property Access tab, find the region you want to grant.
  2. Tick the region's checkbox.
  3. Click Save.

The user immediately has access to every property currently in that region. The change appears across web (Manage Next) and the property mobile app within seconds.

Note: Bulk-granting captures the region's members at the moment you tick it (a snapshot). If you later add a property to that region, it is not automatically granted to users who were previously bulk-granted the region. To bring new members into an existing user's access, re-tick the region or grant the property individually.


Revoking a Region from a User

  1. In the Property Access tab, find the region you want to revoke.
  2. Un-tick the region's checkbox.
  3. A confirmation modal opens listing every property the user will lose access to.
  4. Review the list carefully. Any property flagged with a ⚠️ warning icon was also granted to the user individually — confirming will revoke those too.
  5. Click Confirm to revoke, or Cancel to back out.

Mixing Region and Individual Assignments

Per-property checkboxes remain independently editable. You can:

  • Bulk-grant a region, then add individual properties on top.
  • Bulk-grant a region, then remove individual properties from the user's access.
  • Grant a property individually without bulk-granting the whole region.

Saving the form shows a summary of every change before it's applied.


The Ungrouped Section

If you previously bulk-granted a region and one of its properties was later removed from that region, the user still has access to that property — it doesn't silently disappear. The property moves to an Ungrouped section at the bottom of the tree, so you can always see every property the user can access.

To remove an Ungrouped property from a user's access, un-tick it individually.


Frequently Asked Questions

Why didn't my user get access to a new property I added to their region?

Bulk-granting is a snapshot — it captures the region's members at the moment you tick the checkbox. New properties added to the region later are not granted automatically. To grant the new property, re-tick the region (which re-snapshots its current members) or tick the property individually.

What does the warning icon in the bulk-revoke modal mean?

It flags a property that was also granted to the user individually. If you confirm the revoke, that individual grant is removed too. If you want to keep it, cancel and remove the region access a different way.

Will properties I bulk-grant appear in the mobile app?

Yes — automatically. Bulk-granting writes the same individual access records that the property mobile app already reads. The user will see the new properties in their mobile property picker within seconds, no app update required.

Can I bulk-grant the same region to multiple users at once?

Not in this release — you grant per-user. We're tracking interest in a multi-user bulk action for a future release.

What happens if I delete a region that I've bulk-granted to users?

Existing users keep access to the properties they were granted; those properties move to the Ungrouped section in each user's Property Access tab.

Is the feature available on Hub (the older Rails admin UI)?

Not in this release. Assign Users to Regions is available in Admin Centre only. The Hub Access screen continues to use the flat property list.
