When a maintenance technician marks a task complete in HappyCo, they can add a completion note describing what was done. HappyCo sends that note to the matching work order in your property management system (PMS), so the resolution is recorded in both places.
What a completion note is
A completion note is the text captured when a task is completed — from the Mark Complete step in HappyCo or the status comment on mobile. It is separate from the task description and the work order comments. It is meant to capture the resolution: what the technician found and fixed.
Configuring completion notes by work category
Completion notes are configured per work category, not account-wide. In Manage, go to Task Settings and open Completion Requirements, then select the work categories that require a comment when a task is completed. You can require a photo on the same screen.
When a category requires a comment, technicians must add one before they can complete a task in that category. That captured comment is the completion note that syncs to your PMS. Categories that do not require a comment can still have a note added, and it will sync if one is entered — but only required categories guarantee a note is captured every time.
This means your sync results depend on how your categories are set up. If completion notes are not appearing in your PMS, check that the relevant work categories require a comment.
Happy Force technicians
When enabled, Happy Force technicians respect these completion note requirements too. With the setting enabled, a Happy Force tech completing a work order is held to the same per-category rule as an onsite tech: if the work category requires a comment, they must add one before the work order can be marked complete. That note is captured the same way and syncs to your PMS through the same path. When the setting is disabled, Happy Force techs are not required to add a note.
Syncing completion notes to your PMS
When a task is completed, HappyCo exports the completion note to your PMS and writes it to that system's equivalent field. The note flows from HappyCo to your PMS. For most integrations this is one direction only — a note added in HappyCo appears in your PMS, but notes added directly in the PMS are not pulled back.
Entrata is the exception: HappyCo writes the note to the work order and also reads it back into the HappyCo task description, so the note stays visible in both tools.
A few details to know:
- If a technician completes a task without adding a note, Yardi records a short placeholder so the field is not left blank.
- HappyCo avoids duplicating a note that already matches what is on the work order.
- Long notes are trimmed to fit each PMS's character limit.
Which PMSs we support
Completion notes sync to the following integrations. The field name is where the note lands in that system. Check with your customer support representative if completion note sync isn't enabled for your PMS.
