Overview

The Inspections app no longer supports duplicating previous inspections. This change prevents the accidental carryover of outdated data, notes, and ratings, which can misrepresent inspection quality. Instead, the app uses Outlines, Floor Plans, and customizable templates to streamline inspection creation without the risk of duplicating old data.

Key Concepts

• Outlines and Floor Plans: A configuration that auto-populates relevant inspection sections based on a specific floor plan code (e.g., "1x1"). This ensures the inspection accurately matches the property layout without carrying over previous ratings.
• Master Templates: A comprehensive template containing all possible sections. If outlines do not fit your workflow, you can duplicate a Master Template and customize it for specific layouts.

Steps

Option 1: Using Outlines (Recommended)

This method allows you to use the same template for multiple unit or property configurations.

Part 1: Specify Floor Plans

1. Open the Property Picker and choose a Property.
2. In the left menu, select Units and Areas (for multi-family users) or Properties (for single-family users).
3. Click on a Unit or Property and fill out the Floorplan field with a code (e.g., "1x1" for 1 Bedroom & 1 Bathroom).
4. Ensure the Floorplan field is populated for all relevant Units or Properties.

Part 2: Set Up Outlines in Your Template

1. In the Manage app, navigate to Settings > Templates and open your template.
2. Download the outlines template.
3. Open the downloaded file in a spreadsheet program (like Excel) and navigate to the Outlines tab.
4. Define "Outlines" using the exact codes you used in the Floorplan fields (e.g., "1x1").
5. For each outline, specify how many of each section (e.g., bedrooms, bathrooms) should appear.
6. Save the file as an .xls format.
7. Return to the Template page in the Manage app, click the overflow menu (three-dot icon), and select Import Template.
8. Import your .xls file and choose to either create a new template or replace an existing one. (Note: For more details, refer to the "Editing Floorplans" guide).

Part 3: Create Inspections Using Outlines

1. In the mobile app, start a new inspection.
2. Choose the Unit or Property (where a floor plan was entered during Part 1).
3. Choose the inspection template that includes your defined outlines from Part 2. The app will automatically load only the relevant sections based on the outline.

Option 2: Duplicating a Master Template

Use this option if outlines do not fit your workflow and you prefer manual customization.

1. Build a Master Template that includes all possible sections for all Units or Properties. (Note: You will not use this to create inspections directly, but rather to duplicate and edit).
2. In the Manage app, navigate to Templates.
3. Click the overflow menu (⋮) next to the Master Template and select Duplicate.
4. Rename the duplicated template to suit your specific Unit or Property.
5. Edit the new template by customizing the sections to match that specific layout.

Editing Inspections in the App

The mobile app includes usability enhancements to make on-the-go editing quicker and simpler:

• Delete Sections Quickly: Tap Edit Sections in the inspection to remove multiple sections at once (e.g., Powder Room, Garage, Basement).
• Add Sections Easily: Tap the + Add Section button and choose from all available sections in the template.
• Navigate Efficiently: Use the section picker to jump directly between rooms without needing to reorder sections.
• Use Default Ratings: Set default values (e.g., all items rated "Good") in the template to speed up the inspection process.
• Bulk Apply Ratings: Tap and hold a rating to apply it across an entire section or the entire inspection.

Exceptions / Edge Cases

• Missing Floor Plans: If a floor plan has not been assigned to a Unit or Property, the app will prompt you to choose a layout from the available outlines when starting a new inspection.
