This articles covers how Administrators can create, edit, or delete a reoccurring schedule for Inspections within HappyCo Manage.

 

Creating an Inspection Schedule

  • First, log into HappyCo Managehere

  • Then select your property in theSelect Propertydrop down menu in the upper left corner

  • After a property is selected, click on the Inspections icon under Apps on the left hand side

  • Next, select the Schedules tab

  • Once on the Schedules page, click on the New Schedule button in the upper right corner

  • This will open a side window, where you will first select the Template you wish to use to generate the reoccurring inspections

  • Once you have selected the appropriate template, click on the Next button to move onto Locations

  • On the Locations tab you can select individual units by clicking empty circle to the right of each unit or you can click on the circle to the right of Locations Selected to select all units at once

    • You can also use the search bar here to find individual units

  • Once units are selected, click on the Next button to move onto the Frequency tab

  • Here you can set the schedule to reoccur by a set number of days, weeks, months, or even yearly

  • After selecting this option from the drop down menu under Set Frequency, you need to enter the parameters for how often the schedule should repeat and how many days in advance the inspection should be made available

    • The example below shows a schedule that would generate an inspection once a month, 5 days before its due date on the 1st

  • After the Frequency parameters have been set, click the Next button to move onto the Finalize tab

  • Under Schedule Configuration, you can first edit the Schedule Name

    • This will default to the name of the template used, but can be altered

  • The schedule will default to Unassigned, but you can select a user by clicking this button if the schedule should automatically assign to the same person each time it generates

  • Next, if you would like the schedule to expire once it is past its due date, toggle this option on

    • This is especially helpful if you are selecting a large number of units and do not want to individually archive any that are not completed

  • Then be sure to toggle on the Enable Schedule option

  • The schedule will not generate if this option is not turned on

  • Finally, click the Save Schedule button to finalize your Schedule

Changing the Frequency of an Existing Schedule

  • Once a schedule has been created, it can be edited by opening it on the Schedules page in Manage.

    • If you have inspections scheduled daily that should be scheduled monthly on the last day of the month, you can update the schedule by contacting your account admin.

    • Your account admin can change the schedule from 'Daily' to 'Monthly on last day.'

Editing a Schedule

  • Once in the Schedules tab under Inspection, click on the schedule you need to edit

  • In the Edit Schedule window, make the necessary changes

  • Once changes are complete, go to the Finalize tab and click on the Save Schedule

  • You can Disable an inspection schedule in the Finalize tab

    • This option will stop the inspection schedule from populating, while saving the schedule to be used at a later date

Deleting a Schedule

  • Go to the Schedules tab under Inspections in Manage

  • In the Schedule list, click on the 3 vertical dots icon to the right of the schedule that needs to be removed

  • Click on the Delete button
