An item can be any piece of non-fixed asset inventory associated with a property, such as a refrigerator, range, dishwasher, or washer & dryer. Fixed assets, such as a unit HVAC system, a trash compactor, or an elevator are managed in the Fixed Assets tab.

List View

The default view of inventories is the list view, where you can see all of your items at a glance, along with pertinent information about each:

Dashboard View

Alternately, you can select the dashboard icon to see insights like the EOL schedule, or to see EOL details like the expected life of an item in months:

 

By clicking on the ellipses in the top right, you have the options to download the dashboard or select an alternate timezone for the dashboard:

 

Item Search

By using the Search bar in the top right, you can quickly search by any item detail such as serial number, location, model, and more. This is a great way to quickly narrow down what you are looking for. *Note - dashboards are not searchable at this time.

Add an Item

Click the button in the top right at any time to create a new inventory item. From here the side drawer will open, allowing you to add item details. Once done, click “Save”:

 

Item Overview

Select any item from the items list to view the item details. The Overview tab provides item details, quick actions, the maintenance schedule, inventory history, and past activity:

 

Details

This is where you can see purchase date, cost, warranty end date, assigned location, and more.

Activity

Logs for specific item activity such as when the item was under maintenance or if it was marked as “Do Not Repair”.

Maintenance Schedule

If the item model has a preventative maintenance schedule created, this is where you will view those maintenance items, along with frequency and urgency.

Inventory History

Use this section to view any time this item has been moved from one unit to another.

Quick Actions

Use this section to edit, move, or replace the item. 

Edit Details

Clicking will open up the side drawer and allow you to edit item details.

 

Move an Item

If your team is moving an item from either a storage area or unit to another location, such as another unit or back to a storage area, follow these steps:

  • Click to open the side drawer.
  • Select the unit you would like to move the item to:

  • Pick the Moved On and Installed On dates:

  • Click “Move Item”

 

Replace an Item

If your team needs to replace an item either due to end-of-life or for prolonged maintenance, follow these steps:

  • Clickto open the side drawer and select the item to replace with:

  • Click “Confirm Replacement”
  • The replacement then goes into a pending state where you can either cancel or confirm once the replacement has been completed:

 

  • To complete the replacement, select “Item has been replaced”, which will open the side drawer. From here you can select where the old, replaced item has been moved to, then click “Confirm Replacement”:
  • You will then be taken to the overview tab of the new item where you can see in Inventory History where the new item was pulled from:
