Fixed Assets is the perfect place to track any big-ticket property items and, most importantly, the warranties that come with these items. Recurring Maintenance Schedules can also be set up against a Fixed Asset, and they can also be linked to any Capital Projects.
Fixed Assets can be added one of two ways:
- Added one at a time
- Bulk upload
To add a Fixed Asset individually, click Add New
- And populate the fields below. All information is optional, but recommended for full reporting capability:
-
- Note: GL Account and/or Property Budget will not be available if a Chart of Accounts has not been linked to the Property via Property Settings or if a Fixed Asset Budget has not been set up for at least one year. It is highly recommended that these steps are completed before adding Fixed Assets if intended to be tracked.
- When finished, click Save
To add multiple Fixed Assets at once, click on the elipses to the right of the Add New button and click Bulk Upload Fixed Assets
- The Bulk Upload wizard will open. There are a few options regarding how to proceed:
- Manually Enter Data
- This option allows you to simply copy (from Excel, etc.) and paste into the pre-formatted form as-needed, or bulk enter data by hand
- Many Excel functions such as "duplicate" (cmd/ctrl + D) work while entering data on this page
- Upload a Spreadsheet
- This options allows an existing spreadsheet to be uploaded rather than pasting data in by column
- The wizard will guide you through matching any existing column headings and note any errors, as well as help with formatting the sheet correctly
- Tip: Export a blank sheet after clicking on Manually Enter Data to generate a blank form that can be edited in Excel if that's your preferred environment! This can be uploaded later with minimal manipulation later
- Note: for either option, it is highly recommended that this data is as complete as possible, as you will not be able to edit what was added during these steps in bulk! Please make sure everything has been entered correctly and as completely as possible.
