Overview

This article covers how to manage users in the Call Complete Standalone Portal by adding a new user to either the Leasing or Maintenance team, adding an existing user to the opposite team, and removing a user.

Requirements

  • Users can only be created, added, and removed from teams by a user with the Property Manager role. If the Property Manager role isn't properly configured or portal access is restricted, please contact support to have users added on your behalf.
  • Ensure proper role within Call Complete as the Standalone Portal has a separate user management configuration.
  • To enable user notifications, an email address must be added to the user's profile.

Steps

Adding a New User Profile

  1. Log into Call Complete and click on the Settings tab.
  2. Select either Leasing or Maintenance depending on which team the user needs to be added to.

  1. On the left side under Actions, click on the Add Profile button. This will open a blank user details screen on the right side.

  1. Enter the user's Personal Information, such as name, email address, and mobile number.

  1. Assign a Role when creating the profile to ensure the user has the proper permissions within Call Complete.
  • Note: Under the user's Personal Information, locate the Notifications section. Click on the toggle icon to the right to enable. (These options will be different based on the team and are only available if an email address has been added to the user's profile).

  1. Click on the Save button in the lower right corner.

Adding an Existing User to Another Team

  1. In the Settings tab, select the new team that the user needs to be added to.
  2. Once on the team page, click on either Add From Leasing or Add From Maintenance under Actions.

  1. Click on the dropdown box and select the user's name. This will open the Personal Information page on the right side.
  2. Follow the same steps as above to finish creating their profile for the second team. Be sure to assign a role for the secondary team as well.
  3. Click on the Save button in the lower right corner.

Removing a User

  1. Once you have logged into Call Complete, click on the Settings tab.
  2. Next, select either Leasing or Maintenance.
    • If the user exists on both teams, both profiles will need to be removed individually.
  3. Under Team Members, click on the user's name to open their profile.

  1. Scroll down and select the Remove Profile button; a pop-up will then prompt you to verify the change.

Additional steps to ensure complete removal

  • Ensure the employee is fully removed from the property's profile.
  • Check and disable any real-time notifications set up for the employee.
  • Verify the removal has been completed in both the main system and Standalone Portal.
  • If you continue to see the employee's contact information or experience issues with the removal process, contact support for additional assistance.

Troubleshooting

  • Problem: The "Forgot Password" link isn't working.

    Resolution: Reach out to Support and request a password reset link.

     

  • Problem: There is no clock icon to close out an emergency maintenance request from the portal.
    Cause: The request has not yet been accepted by the on-call technician.
    Resolution: The emergency maintenance request must be marked as 'Accepted' by the on-call tech within the mobile interface for the clock icon to appear in the portal.
     
  • Problem: My portal looks different when I try to log in or reset my password
    Cause: The Standalone portal login is redirecting to the main HappyCo login; the password reset link is then looping back instead of completing.
    Resolution: Contact support rather than attempting the standard password reset flow, which is broken in this scenario.
     
  • Problem: There is no clock icon to close out an emergency maintenance request from the portal.
    Cause: The request has not yet been accepted by the on-call technician.
    Resolution: The emergency maintenance request must be marked as 'Accepted' by the on-call tech within the mobile interface for the clock icon to appear in the portal.

FAQs

Who can create and add users to teams?

Users can only be created and added to teams by a user with the Property Manager role.

Why can't I see the Notifications section for a user?

The Notifications section will only be available if an email address has been added to the user's profile.
