This article covers how to configure resident alerts and communications in Call Complete Standalone. By managing these settings, you can deliver timely updates to your property, keep messages clear and readable, and configure automated alerts, such as maintenance surveys and task alerts, to improve communication workflows.
Key Features
- Maintenance Survey: Automatically sends a Resident Satisfaction text message prompting a 1–5 rating once an emergency maintenance request is marked complete by an on-call tech.
- Proof of Task Completion: Requires the maintenance tech to upload a photo into the activity log before a task can be marked as completed.
Requirements
- SMS Limits: If you select SMS for a Community Broadcast, there is a strict 150-character limit.
- Audio Recording Limitations: The "Record your own audio" option can only be used for phone call broadcasts, not SMS or email.
Steps
Creating a Resident Alert
- Click on the Notifications tab in Call Complete.
- On the dropdown, select Resident Alert.
- A screen will pop up allowing you to input a message that will be prompted for residents ahead of the normal prompts for routine or emergency maintenance.
- Once your alert is written down, make sure to enable it in the toggle below.
- Click the Finish button in the lower right corner of the Create Community Broadcast box.
Enabling Resident Communications
- Click on the Settings tab and select Community.
- Scroll past the Office Hours and select the Additional Options button on the lower left side.
- Under Resident Communications, toggle the Yes/No option for the features you wish to enable (Maintenance Survey or Proof of Task Completion).
- Click the Save button in the lower right corner.
FAQs
What happens after a resident responds to the Maintenance Survey?
If a resident replies with a 4 or 5, they will receive a follow-up text encouraging them to write a review. If they submit a review, it is included in the detailed Audit Trail for that emergency maintenance request. If they reply with a 1, 2, or 3, they will receive a follow-up text encouraging them to call the office during normal business hours so an associate can ensure their issue is resolved.
What if a resident continues to text the Call Complete number after their emergency request is resolved?
If the emergency request has been marked 'Complete', or if at least 24 hours have passed since the original request was made, the resident will receive an automated text directing them to call the office number to initiate a new request.
