Overview

Reports allow you to convert your inspection data into an easy-to-read document. These documents can be branded and formatted to suit your needs, and you can share them directly from your device via email; PDF download is available only on Manage currently.

Because a report acts as a snapshot of your inspection at the exact time it is generated, it serves as an official record of the unit's condition.

Key Concepts

  • Reports are uneditable: You cannot edit rating selections, notes, or photos directly within a generated report.
  • Updating a report: To make changes to the information inside a report, you must edit the original inspection and generate a brand-new report.
  • Managing settings: All report settings must be managed on the desktop version of HappyCo.

Steps

Creating a Standard Report

The most common workflow when finishing an inspection is to preview the report immediately. This process is often combined with collecting signatures from yourself or tenants to properly document the date and time of the inspection.

  1. Open your inspection and tap the Complete button at the bottom of the screen. Completing inspections locks the inspection from changes; this can be undone by Administrators or users with the role with the permission "open completed inspections".

  2. Review the Report Preview. From here, you can share the report without a signature or tap Finalize to collect signatures directly on your device. Finalizing an inspection changes it into the report-available state and generates the inspection report.

  3. If finalizing, choose whether to sign the report now or sign it later.
  4. Once you have added a signature or signatory, you can either share the report via email or close it and return to the unit list. You can also tap on "Signatures" to add additional signatories, or click "Done" to finish.

Locating Previously Completed Reports

  1. Navigate to your inspections list.

  2. Filter the list by Completed and search or filter for the specific unit.
  3. Open the completed inspection.
  4. Tap the page icon in the top right corner of the screen to view all reports attached to that inspection.

Troubleshooting

  • Issue: Report does not generate after tapping Complete
    Cause: The inspection completion request may not have fully processed, or report generation may be delayed due to sync, connectivity, or backend processing issues.
    Resolution: Confirm the inspection shows as completed, refresh HPMA, and allow time for the report to generate. If the report still does not appear, have the user retry from a stable connection and escalate if the inspection remains completed without a generated report.
     
  • Issue: Page icon does not appear on a completed inspection
    Cause: The completed inspection may not have finished syncing, or the report/status indicator did not update after completion.
    Resolution: Refresh the inspection list or page, confirm the inspection is completed, and check again after sync completes. If the icon still does not appear, gather the inspection ID, property/folder details, user info, and timestamp, and contact support for review.
     
  • Issue: Signatures do not save
    Cause: The signature capture may fail due to app/browser session issues, connectivity problems, or the inspection being completed before the signature data syncs.
    Resolution: Re-add the signature and save again from a stable connection. If possible, avoid completing the inspection until signatures are confirmed. If signatures continue disappearing, collect reproduction steps, device/browser details, and inspection ID and contact support for review.

FAQs

How can I update a report?

To make changes to the information inside a report, you must edit the original inspection and generate a brand-new report. If the inspection is currently on a complete status, this can be changed by Administrators or users with the role with the permission "open completed inspections".

What happens if I select the option "Sign Later" on an inspection?

In this flow, the report is generated with a blank signature field. The user can return to the inspection, open the generated report, and complete the signature from there.

Does "Sign Later" notify any party?

At this time, the standard Sign Later option does not appear to automatically notify the other party. If another party needs to sign, they may need to be contacted separately or given access to the report based on your team’s normal process.

If "Sign Later" is selected, will the report remain on draft?

The report itself is not held in a pending system state. It is generated/finalized, but the signature field remains blank until it is completed.
