Overview
This guide provides complete instructions on how to conduct and customize mobile inspections using HappyCo. It covers how to navigate and modify inspection layouts (sections and items), capture visual proof (photos), record detailed comments (notes), and accurately complete item evaluations (ratings).
Key Concepts
An inspection is built on an Inspection Template, which contains three main components:
- Overview: Short text fields located at the very top of an inspection.
- Sections: Groupings of items that make up the bulk of your inspection. Sections typically represent physical rooms or areas (e.g., Entry, Bedroom, Kitchen) and are designated by gray title bars.
- Summary: Longer text fields located at the very bottom of the inspection report.
Base Templates vs. One-Off Customizations
- Base Templates: Editing a base template updates the layout for all future inspections created from that template. This must be done on the Manage page and requires account administrator permissions.
- One-Off Customizations: You can customize sections and items directly on your mobile device during an active inspection. These modifications only apply to that specific inspection and any subsequent inspections copied from it.
Rating Types
When grading items, you will use one of three rating types located on the left-hand side of the screen:
- Checkboxes: Circular checkboxes that allow you to select multiple applicable ratings for a single item (e.g., marking a bed as both "Good" and "Clean").
- Drop-Down Lists: A rectangular button that opens a selection menu where you can choose exactly one appropriate rating.
- Radio Buttons: Single-choice buttons representing restricted options (e.g., selecting "Yes" or "No").
When to Use This
Use this guide when you need to perform an active inspection or customize a layout on the go. One-off layout customization is ideal when a property's physical layout differs from your default template (for example, adapting a standard 3-bedroom template for a 2-bedroom property by removing the unused bedroom).
⚠️ Important Note for Move Out Inspections: Changing section names or altering their order during a Move Out inspection affects the layout of your final report. Doing so is not recommended for Move Out flows.
Requirements
- Device Compatibility: iOS or Android mobile device.
- Internet Connection: Required specifically to use the Voice-to-Text note feature.
- App Status: Ensure the HappyCo app is updated to the latest version to upload files from your device library.
- Permissions: Account administrator permissions are required to edit base templates on the Manage tab.
Steps
Managing Sections
Quick Navigation (iOS)
- Tap the Sections button at the bottom of the inspection screen.
- Review the list of all sections within your inspection.
- Tap the target section to instantly jump to that area.
Inserting a Section
- Locate the section below where you want to add the new section.
- Tap the Insert Section button on the bottom right of that section.
- Review the section list. To copy an existing layout, tap the section name you want to duplicate. Any existing custom layouts or configurations within that section will copy into the new one.
- The new section will appear on your screen immediately for inspection.
Removing a Section
- Tap the Edit button in the bottom-left corner of the screen to open the Editing Layout window.
- Tap the name of the section you want to remove.
- Tap Delete Section and confirm the deletion.
- When finished, tap Leave Editing in the bottom-left corner to return to your inspection.
Managing Items
Inserting an Item
- Scroll to the section where you want to add the item and tap Insert Item at the bottom of that section.
- Enter the item's name.
- Optional: Type any reference notes in the provided field. These notes are only visible to internal team members.
- Review the rating set. By default, the item will use the same rating set as the last item in that section. To change it, tap the chevron (
>) to the right of the rating set and select an alternative set from the list. - Tap Add Item to save and return to the inspection.
Removing an Item
- Tap the Edit button (represented by the Pen and Paper icon in the bottom-left corner of the screen) to enter the Editing Layout screen.
- Tap the item(s) you wish to delete.
- Tap Remove.
- Tap Leave Editing in the bottom-right corner to save your changes and exit.
Note: Removing an item only deletes that specific instance. If items with the same name exist in other sections (for example, "Windows" in other bedrooms), they will remain untouched unless deleted individually.
Recording Ratings
- Locate the rating options on the left side of the item.
- Tap the appropriate rating based on the rating type:
- Checkboxes: Tap all circles that apply.
- Drop-down / Radio buttons: Tap the desired single option.
- To Undo/Reset a Rating: Tap the selected rating option a second time to clear it.
Adding and Managing Notes
Adding Typed Notes
- Tap the Notes icon on the far right of the item.
- Use your device's keyboard to type your notes in the screen that opens.
- Tap Done to save the note against the item.
Adding Notes using Voice-to-Text
- Tap the Notes icon on the far right of the item to open the notes screen.
- Tap the Microphone icon on your device's keyboard (located to the left of the spacebar on iOS and most Android devices).
- Speak your notes clearly. Use short phrases and speak your punctuation aloud (e.g., "walls are clean period").
- Tap Done to save.
Editing and Deleting Notes
- Tap the grayed-out Notes icon on the right side of the item.
- Edit or delete the existing text in the notes screen.
- Tap Done to save your changes.
- To exit without saving: Tap the Cross (X) in the top-left corner to close the note editor and discard any edits.
Taking and Uploading Photos
Taking Photos In-App
- Tap the Camera icon on the right-hand side of the inspection item.
- Perform any of the following camera actions as needed:
- Capture Photo: Tap the white button. (If device sound is enabled, you will hear a shutter click).
- Zoom: Pinch the screen.
- Flash: Tap the Lightning icon to toggle flash options.
- Switch Camera: Tap the Arrows icon to switch between front and back cameras.
- Review Photos: Tap the photo thumbnail in the bottom-left corner of the camera interface to view photos taken so far.
- Exit the Camera:
- On iPhone (photos taken): Tap the white checkmark in the lower-right corner to save and exit.
- On iPhone (no photos taken): Tap the white cross (X) to exit.
- Once closed, the item's camera icon will show a green badge indicating the total number of photos attached.
Uploading Existing Photos from Your Device
- Locate the inspection report and tap the Photo icon on the item.
- Select the option to upload an existing image from your device's photo library (or take a new photo to upload directly).
- Tap the X in the bottom-right corner of the upload interface to return to the main inspection screen.
Troubleshooting
App Issues & Performance Problems
If you experience bugs, freezing, or general performance issues while performing your inspection, try the following steps:
- Uninstall the HappyCo app from your mobile device.
- Reinstall the app from your device's app store.
FAQs
Will changing my base template update active inspections?
No. Template customizations only apply to inspections created after the template has been updated and saved on the Manage tab.
Can anyone edit the default inspection templates?
No. Only account administrators can customize base templates. They must perform these edits through the Manage tab rather than active mobile inspections.
Why shouldn't I reorder sections during a Move Out inspection?
Modifying section names or layouts during a Move Out inspection will alter the structural layout of the final report, which can impact record consistency. It is best practice to leave these untouched.
If I delete an item from "Bedroom 1", will it disappear from "Bedroom 2" as well?
No. One-off item deletions are section-specific. Deleting "Windows" from one bedroom will keep the "Windows" item intact in all other bedroom sections.
Can I dictate notes while working offline?
No. Your device must have an active internet connection to process and convert Voice-to-Text dictations.
