Overview

Smart Inspections lets you complete an inspection just by talking to your phone. You tap AI Listen, walk the unit and describe what you see. The AI fills in the ratings and writes the notes for you. Photos you take are recognized and attached to the right inspection item automatically. The only button you press is the shutter.

Smart Inspections works inside Camera mode on the Happy Property mobile app.


Getting Started

Turn it on

An admin at your organization enables it for everyone:

  1. Go to Admin Centre.
  2. Open Product Releases.
  3. Find Smart Inspections and switch it on.

Make sure your team is on HPMA 2.24.0 or later. Check your app version in the app under Settings.

After you switch it on, each inspector still needs to set up their own phone. See Before You Start below.

Turn it off

Same path. Go to Admin Centre → Product Releases and switch Smart Inspections off. Camera mode keeps working as normal.


Before Your First Smart Inspection: Set Up Each Phone

Each phone needs a one-time setup before voice will work. Do this on Wi-Fi, before your first inspection.

What happens depends on the phone:

Download the speech model

  1. Open an inspection and tap Camera to switch to Camera mode.
  2. Tap AI Listen in the top right corner.
  3. The app tells you the download size. Tap to start.
  4. Leave the progress screen open until it finishes. The download pauses if you leave the screen.

Before you start, check that you are:

  • On Wi-Fi, not mobile data
  • Somewhere with a stable connection
  • Have about 1 GB of free space on the phone

If the download stops, open it again. It carries on from where it stopped. It does not start over.

When the download finishes, voice is ready. You do not need to restart the app.

If your iPhone asks you to turn on dictation

On iPhones running iOS 26 or later, the app uses Apple dictation. If your language is not installed:

  1. Tap the link in the app. It takes you to Settings.
  2. Go to General → Keyboard → Dictation.
  3. Turn dictation on and add your language.
  4. Go back to the app and tap AI Listen again.

Running a Smart Inspection

  1. Open an inspection.
  2. Tap Camera to switch to Camera mode.
  3. Tap AI Listen in the top right corner.
  4. The app tells you when voice is ready to listen.
  5. Walk the section and describe what you see, in your own words. You can cover every item in the section in one go — you do not need to stop between items. For example: "Carpet is worn near the doorway with a couple of stains. Walls are in good condition. Ceiling is fine."
  6. Pause for a moment when you finish a thought. The app sends what you said and fills in the ratings.
  7. Check the ratings on the form. Tap on them to change anything you want to change.
  8. Move to the next section.

Move between sections

Two ways, and voice keeps running either way:

  • Tap the section buttons at the top of the screen.
  • Swipe left or right to move to the next or previous section.

The app starts a fresh voice session for each section, so what you say applies to the section you are in now.

Add a note

Notes are the one time it helps to tell the app what you want.

Say "take a note", then keep speaking as normal. What you say next is captured as a note rather than read as a rating.

For example: "Take a note — the doorway trim has been repainted a different color to the rest of the room."

Fix a rating

Two ways:

  • Say it. For example: "Actually the wall is fair, not poor." The app updates the rating.
  • Tap it. Tap the rating on the form and change it yourself.

If you tap a rating and then keep talking about the same item, what you say next may overwrite what you tapped. Make manual corrections after you finish speaking about that item.

Stop listening

Tap AI Listen again.

The app also stops listening when you take a phone call, switch to another app, or start a video recording. Tap AI Listen again to resume.


Taking Photos

Take photos as you normally would. You do not need to select an inspection item first.

  • The app recognizes what is in the photo and attaches it to the matching inspection item.
  • If no item is selected, the photo attaches to the section you are working in.
  • Photo recognition runs on your phone. It works with no internet connection.

Review unassigned photos

Some photos cannot be matched automatically. You will find these in the unassigned photos review screen.

  1. Open the unassigned photos screen.
  2. Tap a photo.
  3. Choose the inspection item it belongs to, or delete the photo.

Reviewing AI Content

Anything the AI filled in is marked for you.

  • A banner shows that the section contains AI-generated content.
  • A message confirms when the inspection has been updated.

Check the ratings and notes before you submit. You can change anything.


Recording Video

You cannot record video and use voice at the same time.

If you start a video recording while voice is running, the app asks you to stop voice first. Tap AI Listen again after you finish recording.


Working Without a Connection

  • Photo recognition works offline. It runs on your phone.
  • Voice ratings need an internet connection. When you have no signal, the app tells you and you complete the inspection in Camera mode as normal.

What you said is held on your phone. When your connection comes back, you can send it again.


Frequently Asked Questions

Is my voice being recorded?

No. Your phone converts your speech to text on the device. Only the text is sent. The audio never leaves your phone.

Do I have to use set commands or phrases?

Almost never. Describe what you see in your own words and the app works it out. The one exception is notes — say "take a note" first, then keep speaking as normal.

Can I do a whole section in one go?

Yes. Describe every item in the section without stopping. You do not need to select items one at a time.

How do I change sections?

Tap the section buttons at the top of the screen, or swipe left or right. Voice keeps running.

Can I still inspect the old way?

Yes. Camera mode and the standard inspection form both work exactly as before.

Why did a rating I set change on its own?

If you tap a rating and then keep talking about the same item, the app uses what you said most recently. Make manual changes after you finish speaking about that item.

Why did my photo end up in unassigned photos?

The app could not confidently match it to an item. Assign it yourself from the unassigned photos screen. This happens more often with unusual items.

Does it work in languages other than English?

Yes. Speech follows the language set on your device, and the AI translates as it interprets.

Why do I need to download 671 MB?

The speech model runs on your phone, not in the cloud. That is what keeps your audio on the device. Most phones need to download it once. iPhones running iOS 26 or later use Apple dictation instead and skip the download.

Do I have to download it again?

No. Once per phone. If you get a new phone, you do it again on that one.

My download stopped. Do I start over?

No. Open it again and it carries on from where it stopped. Downloads usually stop because the progress screen was closed or the app went to the background.

Can I download the model on mobile data?

You can, but do not. It is about 671 MB. Use Wi-Fi.

The app says voice is not supported on my device.

Your phone cannot run either speech option for your language. Use Camera mode as normal, and let your manager know your phone model and language so we can look into it.

What app version do I need?

HPMA 2.24.0 or later, on iOS 15.5+ or Android 11+. You also need about 1 GB of free space for the one-time setup.
