Overview

This guide helps Administrators manage user credentials, profile details, roles, and property access within Happy Manage.

Key Concepts

  • Folders: A structure for managing units and properties in Inspections.
    • Multifamily: A folder typically represents an individual community, with the community's units listed underneath it.
    • Single-Family: A folder represents a portfolio of properties under management, which can be organized by region or assigned Property Manager.
    • Note: Administrators can customize team access to specific working areas by managing the folders they work out of.
  • Default Property Access: By default, everyone in your company has access to all properties. Access limits can be configured and customized through Happy Manage.

Requirements

  • Individual Logins: Each team member completing inspections must have their own unique login to ensure accurate tracking and accountability.
  • Permissions Assistance: For questions regarding overall user access and permissions, please reach out to your company's Account Administrator.
  • Legacy Plan Limitations: If your organization uses Inspections under an older plan type, adding new users may affect your pricing. Please submit a support request if you are unsure if this applies to your account.

Steps

Resetting Your Own Password

You can reset your password either directly through the mobile app or via Manage.

Option 1: Resetting via the Mobile App

  1. Open the mobile app and enter your email address on the login screen.
  2. Click Continue.
  3. Tap Forgot Password.
  4. Check your email inbox (including your junk/spam folders) for a message from support@happyco.com.
  5. Follow the instructions provided in the email to complete the reset.

Option 2: Resetting via the Web Portal

  1. Navigate to happy.co and click Sign In in the upper-right corner.
  2. Once logged into Happy Manage, click your profile initial in the upper-right corner of the screen.
  3. Select Edit Profile.
  4. Locate the password field in your profile details and update your password.
  5. Click Save.

Adding New Users

  1. Log into Happy Manage and click the Settings (gear) icon in the upper-right corner of the screen.
  2. On the Users page, click the blue New User button in the top-right corner.
  3. Complete the required user details.
  4. Click Create User. (Note: An automated email will immediately be sent to the new user to help them get set up.)

Editing Team Member Details

  1. Click the Settings icon in the upper-right corner of the screen.
  2. Ensure you are on the Users page. (If not, select Users under the Admin section on the left-hand menu).
  3. Select the team member whose details you need to modify.
  4. In the User Details panel, edit the user's name, short name, or phone number.

Updating a Team Member's Password

  1. Click the Settings icon in the upper-right corner of the screen.
  2. On the Users page, click the name of the user whose password needs updating.
  3. Within the User Details view, click the Set Password button to establish a temporary password. (Note: This triggers an automated email to the user, prompting them to select their own secure password.)

Changing Team Member Roles and App Permissions

  1. Log into Happy Manage via happy.co.
  2. Click the Settings tab.
  3. Click on the user whose role you want to adjust.
  4. Select the Role Management tab.
  5. Click the selection circle next to the role you want to assign to the user.
  6. Click Save before exiting the screen.

Managing Access to Properties

  1. Log into Happy Manage.
  2. Click the Settings tab.
  3. Select Properties under the Portfolio section on the left-hand menu.
  4. Select the property you want to manage, then select Property Access.
  5. Choose either All Users or Selected Users.
  6. If Selected Users is active, click the checkmark circle next to each user who requires access to this property.
  7. Click Save before exiting the screen.

Changing Property Names

  1. Log into Happy Manage via happy.co.
  2. Click the Settings tab.
  3. Select Properties under the Portfolio section on the left-hand menu.
  4. Click on the property you want to rename.
  5. In the Property Details overview, click inside the Property Name box and edit the text.
  6. Click Save before exiting the view.

Exceptions / Edge Cases

  • Property Access Revocation & Sync Issues: If a team member's access to a property is revoked while they still have an active, in-progress inspection uploaded from their mobile device, they may receive warning alerts inside the app. If this occurs, temporarily restore their access to the property until all of their device data has successfully finished uploading, then proceed with removing their access.
