Overview
Report Workflows allow you to automatically generate reports from completed inspections and control the report types and presets used. Business Wide Report Styles allow you to easily apply unified settings and appearances across multiple properties to maintain brand and operational standards, avoid inconsistencies caused by manual duplication, and improve efficiency for your teams.
Key Concepts
- Brand Customization: When creating and editing Report Styles, you can use pre-populated property information (such as the property name and logo) and enter precise color codes to match your exact brand colors.
- Automated Workflows: Setting up automated workflows on templates streamlines the inspection process by ensuring reports are generated automatically upon completion according to your defined settings.
Requirements
- Report Styles: You must have the Administrator role to access, create, and share Report Styles.
- Report Workflows: You must have the Administrator or Process Manager role to access the Edit Report Workflow button.
Steps
Creating a New Report Style
- Log in to HappyCo Manage.
- Click the Settings icon (cogwheel) in the upper right corner, next to your initial.
- Select Report Styles under the Setup section in the left-side menu.
- Click the New Report Style button in the upper right corner to open a report preview with a sidebar edit screen.
- Enter your desired settings and images (such as logos and brand colors) into the edit screen.
- Click the Save button in the lower right corner once you are finished.
Sharing Report Styles
You can control which properties have access to a specific Report Style directly from the edit menu.
- Open the Edit Report Style menu for your desired style.
- Navigate to the Sharing tab.
- Select one of the following access levels:
- Not Shared: Hides the Report Style from all properties.
- All Properties (Default): Shares the style with all properties currently in the account, as well as any new properties added at a later time.
- Specific Properties: Allows you to manually select multiple properties. Newly added properties will not automatically gain access.
Configuring Report Workflows
- Open a Template in Happy Manage.
- Click the Edit Report Workflow button in the menu box on the right.
- Customize the following settings in the Report Workflow Tab:
- Enable Automated Workflow: When enabled, incomplete inspections will only display the Complete Inspection icon (replacing the Create Report icon on iOS or the Add Report option on Android).
- Automatically Generate Report: When enabled, a report is automatically created when "Complete Inspection" is chosen, using the defined Report Type and Preset. (Note: This setting is disabled if Enable Automated Workflow is disabled. If disabled while Enable Automated Workflow is enabled, no report will be generated upon completion).
- Preview Report Before Completion (Mobile Only): When enabled, choosing "Complete Inspection" directs you to the Report Preview screen to sign, send, or complete the report instead of automatically creating it. (Note: This setting is disabled if Generate Inspection Report or Enable Automated Workflow is disabled).
- Require Signature (Guest Inspection Only): When enabled, this requires guest inspectors or residents that are sent an inspection to add a signature before completing the report.
- Report Style: Allows you to set a default Report Type to use when generating a report automatically. You may choose "No Default" to allow the inspector to decide. (Note: This setting is disabled if Generate Inspection Report is disabled).
FAQs
What happens if no Report Type or Preset is set for an automatically generated report?
If no Report Type is set, the user will be prompted to select one. If no Preset is set, the workflow will fall back to the most recently used Preset that was used for that Report Type.
Do Report Workflows carry over if I copy a template?
Yes, Report Workflows are copied along with any templates that are copied.
If I share a Report Style with "Specific Properties," will newly added properties get access?
No. If you use the "Specific Properties" access level, newly added properties will not automatically gain access; they must be manually selected.
