You can manage the on-call schedule for your property by heading over to the 'On-Call Schedule' item in the left menu. 

The on-call calendar

To manage the on-call schedule for your property, select On-Call Schedule in the left menu. The calendar opens on today's date. Use the < and > arrows to move between dates, and switch between day, week, or month view from the view selector.

Set up your default schedule

Every property needs a default schedule before you can use the on-call calendar. The default schedule guarantees 24/7 coverage and automatically fills any gaps left by your recurring schedules and exceptions.

A default schedule is made up of two contacts:

  • Default 1st contact — the primary fallback for emergency calls
  • Default 2nd contact — the secondary fallback if the 1st contact is unreachable

If you haven't set your default schedule it will appear when you navigate to 'On-Call Schedule'. You can also set them directly from the purple alert that appears on the calendar when either contact is missing, or directly from the 'Settings' section of Call Management.

Until both contacts are saved, the on-call calendar is not accessible.

Create a recurring schedule

To create a new recurring on-call schedule you can either start by selecting the 'Add Schedule' button or click in the empty square on a specific date.

Next, you have the option to choose the start time or end time for the schedule. If you want to reset the schedule and set it as a full day simply hit the 'Set as Full Day' button.

Use this functionality to select a specific time block if the person on-call changes throughout the day. You can set up as many schedule blocks as you need and they will show up as separate events that day, similar to a calendar event in Microsoft Outlook or Google Calendar. Next, you will set up your call tree. The call tree is the sequence in which your emergency maintenance calls will be routed. You can set up to nine backups.

Note: If no on-call roster is set up (or there is a period without coverage), the default call tree will attempt to contact the 1st and 2nd contacts for the property.

Setting recurrence

Next, you can choose how often the on-call schedule recurs. You can select no recurrence which will mean that the on-call schedule is only set up for the specific day that you selected in step 1.

You also have the option to select a custom recurrence. If you have used Microsoft Outlook or Google Calendar you will be familiar with the way you can set recurring on-call schedules like recurring meetings. You have the option to choose the frequency of the on-call schedule, the specific days to repeat, and how many times to repeat or for the schedule to end on a specific day.

Once you've finished setting up the recurrence for your on-call schedule, click 'Add Schedule' and this will create the schedule across the specific parameters selected. You will then be able to see these populate across your on-call calendar.


Edit a schedule

To edit an existing schedule, click on the schedule you want to edit. From here you can change the time or click Call Tree at the top to edit the call tree for that schedule.

Delete a schedule

To delete an existing schedule, you can click on the specific schedule and then click 'Delete Schedule'.

You can also delete all schedules on a single day by using the ellipse menu (3 vertical dots) and selecting 'Delete Schedule'.

Full-day coverage

The on-call scheduler provides a quick visual indication if a day on the calendar has full-day coverage. This ensures that emergency maintenance calls that come through will not be missed and that your team members set as the fallback call tree are not inadvertently receiving these calls when another person on the roster should be. The visual indication is represented by a small green tick next to the date number.

Schedule actions via the ellipse menu

For any day on the calendar, click the ellipses to access advanced options:

 

Duplicate Schedule

Creates a copy of an existing schedule. You'll be prompted to:

  • Select a new date
  • Adjust the start and end times
  • Optionally configure a recurrence pattern

Add Exception

Use this when you need temporary coverage changes for a specific date — sick days, appointments, or special events.

  • Select a replacement contact
  • Set the start and end time for the exception

The original schedule resumes once the exception period ends.

Copy and paste day or week

Use the ellipsis menu to copy and paste schedules across days or weeks.

  • Copy day — copies all schedules from that day to the clipboard.
  • Copy week — copies the full Monday-to-Sunday week to the clipboard.
  • Paste day — overwrites the destination day with the copied schedules. A confirmation modal asks you to confirm.
  • Paste week — overwrites the full Monday-to-Sunday week of the destination, no matter which day you click into. The confirmation modal calls this out.

Delete schedule

Removes all schedules and exceptions for the selected date. You'll see a warning:


"All schedules and exceptions for this day will be deleted and are not recoverable. Are you sure you want to delete all schedules for this day?"

This view is especially useful for planning future rotations and quickly verifying coverage gaps. If you notice a day without a green checkmark, you can click that date to create or adjust the schedule as needed.


Bulk updates for on-call schedules

  • Delete schedules in bulk

    • Click into a schedule (this is the light purple box with the on-call persons name)

    • The schedule drawer will open on the right side.

    • From the drawer, open the three-dot menu (⋮) → select Delete Schedule.

  • Choose whether to delete:

    • This schedule only

    • This and future schedules (select an end date to confirm how far out to delete).

  • Confirm your choice. All selected schedules will be removed in bulk.

     

  • Update schedules in bulk

    • Click into a schedule (light purple box with the on-call person’s name).

    • The schedule drawer will open on the right side.

    • Choose whether to update:

      • This schedule only

      • This and future recurring schedules (select a date range).

    • Make your updates, such as:

      • Adjusting timeframes for on-call coverage

      • Changing the assigned person

      • Adding or removing backup team members

  • Confirm your changes. Updates will automatically apply in bulk across the selected date range.

     


Move & duplicate on-call schedules

You can easily drag, drop, and replicate both scheduled times and full-day schedules across the calendar without having to rebuild them from scratch.

Move schedules

  • Click the Move icon for the schedule you want to adjust.

  • The calendar background turns green, highlighting the new target date. 

  • Drag the schedule to the new date and release. 

  • In the drawer, choose This schedule only or This and future recurring schedules (set a date range). 

  • Review the details, click Next → Save.

Duplicate schedules

 

  1. Click the Duplicate icon for the schedule you want to copy.
  2. Edit the schedule in the drawer if needed.
  3. Drag the duplicated schedule across the calendar. The background turns blue and shows Drop to Replicate.
  4. Drop on the destination date.
  5. If there's an overlap, you'll see a warning ("This may overlap with existing schedules — do you want to continue?"). Confirm to complete the duplication.

You can duplicate just the single schedule or apply changes to future schedules.

  • The schedule drawer will open, allowing you to make any edits before duplicating.

  • Drag the duplicated schedule across the calendar. 

  • The background will turn blue, and you’ll see “Drop to Replicate”.

  • Place it on the desired dates.

  • If there are overlaps, you’ll see a warning (e.g., “This may overlap with existing schedules — do you want to continue?”). Confirm to complete the duplication.

  • You can choose to duplicate just that schedule or apply changes to future schedules


Add an exception to an existing on-call schedule

If the primary maintenance technician is temporarily unavailable but does not need to be removed from their current schedule lineup, you can set a temporary exception. This exception will override the existing schedule for a short period.

For example, the primary maintenance technician may be temporarily unavailable (i.e. doctor’s appointment, parent/teacher meetings, etc.). To address this you can add an exception to the day’s schedule and select another user to be the primary on-call tech for that period.

Go to the day you need to add the exception. From there select the overflow menu (3 vertical dots) in the top right and select 'Add Exception'.

You can then select who to set as the on-call person and the period. This will override the existing on-call schedule only during this selected period for that day. This person will be the one to receive the calls during this period. Once the period ends, the existing on-call schedule will continue.

What you'll see if your setup isn't complete

The calendar shows a different state if a prerequisite isn't in place.

No verified users (yellow alert)

If the property has zero verified users, the calendar is replaced by a yellow alert asking you to verify at least one user before scheduling.

Some verified, some unverified (yellow alert, dismissible)

Once at least one user is verified, the calendar becomes interactive. A yellow reminder sits above it if any users are still unverified. Dismiss it for the current view; it returns when you refresh or navigate back to the calendar.
