Creating a new Due Diligence or Lease File Audit order is quick and easy from your HappyCo Manage account. This article walks through the full flow — from submitting the order through attaching your rent roll and understanding what happens next.

Submitting a New Order
- From your Manage dashboard, click the Overview tab or the HappyCo logo.
- Select the DD Orders tab.
- Click New Order.
- Enter the property details, start date, and unit count.
Once completed, you'll be taken to the Order screen — this is the command center for your order.
The Order Screen — Your Command Center
The Order screen is where you'll manage everything related to your order:
- View and upload files. To view attached files, click the paperclip icon on the order.
- View service requests submitted for the order.
- Track order status as it moves through the setup stages (see Order Status Breakdown below).
- Communicate with the Due Diligence team about any questions or requests.
Finalizing Your Order — Attaching a Rent Roll
To finalize your order, you must upload a rent roll.
Accepted file formats:
.csv.xls.xlsx
To attach your rent roll:
- From the Order screen, click the Attach Rent Roll to Finalize Order button.
- Upload your file.
Once uploaded, the status tracker will move to Validating Rent Roll — this means your rent roll has been received and is under review by the HappyCo Due Diligence team.
Important: Rent rolls must be submitted through the platform, not by email. This ensures all files stay grouped with the correct order and nothing is lost or misrouted. You can either attach a rent roll to a new order (as described above) or submit it via a Service Request on an existing order — see Due Diligence: How to Create a Service Request.
Rent Rolls in PDF Format
If your rent roll is only available as a PDF, you'll need to convert it before uploading — PDF rent rolls cannot be accepted directly.
- Use a PDF-to-Excel conversion tool to convert it into an Excel file.
- Upload the converted file (
.csv,.xls, or.xlsx) to your DD Order.

Following the steps in the guide will give you the best-formatted rent roll to upload to your DD order, which helps our team validate and process it faster.
After You Submit
Order Status Breakdown
Your order will move through the following statuses as it progresses:
| Status | What it means |
|---|---|
| Incomplete | Order has been created, but the rent roll hasn't been attached yet. |
| Validating Rent Roll | Rent roll uploaded and under review by the Due Diligence team. |
| Processing | Order is being cleaned and set up on our end. |
| Ready | Order is ready for your walk or audit to begin. |
| Complete | Order has been finalized (after you click Mark DD as Complete). |
Unit Count Verification
If the unit count on your order doesn't match the unit count on the rent roll, our team will contact you to confirm which number is correct. If needed, we'll adjust the unit count internally so your invoice reflects the accurate total.
Order Expiration
If your Unit Walk or Lease File Audit start date passes and you haven't attached a rent roll, the order will expire. If this happens, you'll need to submit a new order to proceed.
Canceling Your Order
If you need to cancel a Due Diligence order, you can do so directly within Manage — as long as the walk or audit hasn't started yet.
If the walk or audit hasn't started yet (self-service):
- Log into Manage.
- Click the DD Orders tab.
- Select the order for the property you want to cancel.
- Scroll to the bottom right of the screen, under the DD Service Requests section.
- Click the red Cancel Order button.
If the walk or audit start date has already passed:
Self-service cancellation isn't available once the walk date has passed. In that case, reach out to us and let us know which order needs to be cancelled — we'll coordinate with our billing team to process the cancellation manually.
