How It Works

Properties, Units & Residents

HappyCo imports all properties and units from Entrata, along with the primary resident for each active lease. Unit data — including floorplan, unit type, bedrooms, bathrooms, square footage, market rent, and address — stays up to date with changes syncing from Entrata every 24 hours. Resident records update on the same cadence, keeping lease dates, move-in and move-out dates, and notice dates current in HappyCo.

For student housing properties, units may be imported as Room Spaces rather than standard units.

Make Ready Projects

When a resident in Entrata is scheduled to move out, HappyCo automatically creates a Make Ready project. The project starts on the move-out date, with tasks and inspections due relative to that date. If the move-out date changes in Entrata, the project shifts accordingly — including due dates on any incomplete items — within 24 hours.

Inspection Scheduling

HappyCo can automatically schedule inspections based on four events in Entrata: the lease-from date, a resident moving in, a resident's scheduled move-out date, or the date a notice to vacate is given. One inspection can be created per event type, for up to four total automated inspections.

HappyCo checks for new inspection triggers every 24 hours. If your templates use bedroom or bathroom sections, those sections can be automatically populated based on the unit's floorplan.

Inspection Report Sync

When an inspection is completed, HappyCo syncs the report back to Entrata as a PDF attached to the corresponding lease documents.

For inspections scheduled as part of a Make Ready project, syncing the report to the resident moving out is optional and disabled by default. This prevents inspection reports not intended for the resident — such as move-in inspections — from being sent incorrectly. Syncing can be enabled on a per-property, per-template basis.

Reports from manually created inspections (not triggered by the integration) are not synced back to Entrata.

Work Order Sync

HappyCo and Entrata stay in sync bidirectionally for work orders. When a work order is created in Entrata, it appears in HappyCo within 15 minutes. Work orders created in HappyCo sync to Entrata on a similar cadence, and updates to either side stay in sync on an ongoing basis.

By default, all work order types are imported from Entrata. Specific types — such as Make Ready or Renovation work orders — can be excluded from the import if needed. Initial setup imports work orders from the last 90 days.

Note: HappyCo cannot update Recurring Work Orders in Entrata. Changes to recurring work orders must be made directly in Entrata.
