How It Works
Properties, Units & Residents
Once active, the integration imports your properties and units from Yardi and keeps them up to date daily. The primary resident for each lease is also synced, giving HappyCo what it needs for resident inspections and work orders. Resident data includes name, contact information, lease dates, and move-in, move-out, and notice dates. Resident deposit and charge data can also be imported, though this requires additional configuration.
Make Ready Projects
When a resident is given a move-out date in Yardi, HappyCo can automatically create a Make Ready project the following day. Each project is built with the tasks and inspections your team has configured and starts on the resident's move-out date — though individual items can be set to be due earlier, such as a pre-move-out inspection.
If the move-out date changes in Yardi, the project and all its incomplete items shift to match within 6 hours.
Inspection Scheduling
HappyCo can automatically schedule inspections based on three events: when a resident moves in, when they are scheduled to move out, or when they give notice to vacate. One inspection can be created per event type, for up to three total. HappyCo checks for new inspections to schedule once per day.
If your inspection templates use bedroom and bathroom sections, HappyCo can automatically insert the right number of sections based on each unit's floorplan data from Yardi.
Inspection Report Sync
When a standalone inspection is completed in HappyCo, the report syncs back to the resident's record in Yardi as a PDF and link, found under Data → Attachments.
For inspections that are part of a Make Ready project, report syncing is off by default — this prevents the wrong report from being sent to a resident, for example a move-in inspection going to the resident who moved out. This can be enabled and configured per property, with control over which templates sync back.
Work Order Sync
Work orders created in Yardi sync to HappyCo within 15 minutes. Work orders created in HappyCo sync to Yardi immediately. Updates on either side sync back on the same timeline.
During setup, your team works with HappyCo to map Yardi's work order categories, priorities, and statuses to their HappyCo equivalents so everything flows correctly between the two systems. By default, work orders that are part of a Make Ready project also sync to Yardi, though this can be turned off if you prefer to keep those in HappyCo only.
