Overview

The Admin Center is the centralized hub where all user creation, management, and deactivations take place within the HappyCo platform. It allows administrators to securely configure individual access profiles, assign functional roles, and manage property-level permissions. Once added, new team members automatically receive an email to complete their account setup process (which includes setting a password), and their account becomes immediately active.

Key Concepts

Default Roles

A user's assigned role determines exactly which functions they can perform and which features they can access in HappyCo. The platform features four default roles:

  • Admin: Grants full edit access to the entire team account, including access to all properties and billing information.
  • Process Manager: Designed for users who need elevated editing capabilities, including the ability to cancel inspections, work orders, and projects. This role inherits all permissions of the Standard role.
  • Standard: Suitable for most users working directly at a property. This role inherits all permissions of the Limited role.
  • Limited: Restricts permissions to performing inspections, working on tasks, and viewing project boards.

(Note: Any custom roles created will also appear in the roles list).

Bulk Import Role Application

When adding multiple users at once using the bulk CSV upload tool, the system requires you to select a specific role. This single selected role is automatically applied to every user included in that specific CSV file.

Requirements

  • You must have the Administrator role or explicitly configured Admin Center access permissions to access the Admin Center and add new users.
  • Important: Before deactivating a user, you must ensure that all data has been synced from any devices used under that user's profile. Any unsynced data tied to a user's profile will not be able to sync to the database once the profile is deactivated.

Steps

Accessing the Admin Center

You can access the Admin Center using either of the following navigation methods:

  • Method 1 (Experience Switcher): Click the 9-dot box icon in the top-left corner and select Admin Center at the bottom of the pop-out menu.
  • Method 2 (Settings Cog): Click the Settings (cogwheel) icon in the top-right corner next to your profile avatar, then select the Admin Center (or Users tab under Admin) from the left navigation menu.

Adding a Single User

  1. Click the New User button in the top-right corner of the Admin Center.
  2. Enter the team member's details:
    • Full Name
    • Short Name: The name displayed throughout the products (e.g., "Josh" instead of "Joshua").
    • Email
    • Phone #: This field has a required format (e.g., 10-digit US number, no dashes).
  3. Select the user's Role.
  4. (Optional) Click Advanced Settings to write a personalized welcome message that will be included in their welcome email.
  5. Click the Create User button in the lower-right corner.

Adding Users in Bulk

  1. Navigate to the bulk user import tool.
  2. Download the provided CSV template.
  3. Complete the CSV file with your users' details.
  4. Upload the completed CSV file.
  5. Select a role to assign to the uploaded users.

Editing an Existing User's Roles and Property Access

You can update general details, role assignments, or property permissions for a single user.

  1. Select the user you wish to update from the active users list.
  2. Select either the Role Management or Property Access tab.
  3. Make the necessary updates:
    • Roles: Check or uncheck the relevant roles.
    • Properties: Check the boxes next to the properties you want them to access, or click a checked box to remove access. (Tip: You can scroll through the list or use the Search bar to find a specific property).

  1. Click the Save button in the lower-right corner.

Deactivating a User's Profile

  1. Select the Users tab on the left side of the screen to view the list of active users. (Optional: Use the search bar to find the user by name or email).
  2. Click on the name of the user you need to deactivate.
  3. In the User's Details page, click on the 3 vertical dots in the upper right corner.

  1. Select Deactivate. The user is automatically moved to the Deactivated Users list.
  2. Click Save or the X button to leave the screen.

Reactivating a User's Profile

 

  1. Go to the Users tab.
  2. Click the dropdown box that currently says Active, and select All or Deactivated.

  1. Select the name of the user you need to reactivate.
  2. In the User's Details page, click on the 3 vertical dots in the upper right corner and select Activate. The user is automatically moved to the Active Users list.

  1. Click Save or the X button to leave the screen.

 

Troubleshooting

  • Problem: The new user did not receive their welcome email.
    Cause: The email address may have been misspelled, or the email was caught in a spam/junk filter.
    Resolution: First, check the spelling of the email address entered for the user. If the spelling is correct, have the user go to the HappyCo login screen and select the Forgot Password link to reset their password and access their account.

FAQs

Can I assign different roles to users during a bulk CSV import?

No. The role you select during a bulk upload is automatically applied to all users in that specific CSV batch. If you need to assign different roles, you must group and upload your users in separate CSV batches based on their intended roles.

What happens if I deactivate a user before their device syncs?

Any unsynced data tied to a user's profile on their device will not be able to sync to the database once the profile is deactivated. Always ensure device data is fully synced before deactivating an account.

Do users retain access to properties if the property is deactivated?

No. If a property is deactivated in the system, users with access to that property will lose their access to it automatically.
