Your PMS integration keeps inspection reports flowing from HappyCo into your property management system, so completed reports land on the right resident or unit without anyone uploading them by hand.
To do that, the integration relies on a few settings that match your setup exactly. When one of those changes on your side, we need to update the matching setting on ours. If we don't hear about it, reports can quietly stop exporting. No error appears in HappyCo or in your PMS, so the gap can go unnoticed for weeks.
This article covers the changes to tell us about and how to catch a problem early. The steps below apply to Yardi, RealPage, Entrata and Rent Manager. If you use AppFolio, MRI or ResMan, some of them work differently, so check with your CXM.
Why this matters
Inspection reports in your PMS are often your record of a unit's condition. That matters most at move-out, when a report may be needed to support charges or answer a resident dispute.
If exports stop:
- Completed reports stay in HappyCo but don't appear in the resident or unit file in your PMS.
- Onsite teams end up downloading and uploading reports manually.
- HappyCo support will manually sync any reports missed during the gap.
A quick heads-up to our team prevents all of this.
Changes to tell us about
1. Renaming or replacing an inspection template
Your integration exports reports based on the template name. If you rename a template, or replace it with a new one, let us know so we can update your export settings.
The same applies to inspections we schedule automatically from your PMS, such as move-in, move-out or notice inspections. We find the template for these by its exact name, so if you rename it, these inspections stop being created until we update your settings.
Small changes count too. For example, "Move Out Inspection" and "Move-Out Inspection" are treated as two different templates.
Tell us: the old template name, the new template name, which properties are affected (if applicable), and when the change takes effect.
2. Changing the templates on your Projects (make-ready) board
Your Projects board can automatically create inspections, such as Pre-Move-Out, Move-Out, and Final, when a move-out date is set for a resident in your PMS. If you change which template the board uses, the new template also needs to be set up for export.
Projects settings apply across your whole organization, so one change here affects every property.
Tell us: which step on the board you changed and which template it now uses.
3. Adding, renaming or removing attachment types in Yardi
When a report exports, it's filed on the resident's record under an attachment type in Yardi, such as "Unit Inspections." You can use a different attachment type depending on the resident's status, for example one for current residents and another for residents who have moved out. We can only use attachment types that already exist in your Yardi and are selected under Import/Export Attachment Types for the HappyCo interface.
If you add a new type or want reports filed somewhere different, let us know after it's set up in Yardi. We'll update your export settings to match.
Tell us: the exact attachment type name as it appears in Yardi, and which resident statuses (for example Current, On Notice or Moved Out) should use it.
4. Adding properties or new templates you want exported
New properties and new templates aren't exported automatically. If you want reports from them to land in your PMS, reach out and we'll add them.
How to let us know
Submit a request at support.happy.co and include:
- What's changing (template, Projects board, attachment type, or property)
- The old and new names, where they apply
- The properties affected (if applicable)
- The date the change takes effect
Sending it a few days before you make the change is ideal. If you've already made it, send it right away and we'll get things back in sync.
Signs something may be off
Reach out if you notice any of these:
- Recently completed inspections are missing from resident or unit files in your PMS.
- Your team has started uploading HappyCo reports into your PMS by hand.
- Reports are showing up under an unexpected attachment type.
- Move-in, move-out or notice inspections have stopped appearing in HappyCo.
