There are several Resident Communication Settings that can be configured for your Call Management service. To access these you will need to navigate to Settings and select Community from the drop down. Then select Resident Communications item on the right.
The options are provided below with a brief overview:
- Maintenance Survey: This option will send a text message requesting a 1 to 5 rating from residents once their emergency maintenance request is marked complete.
- Create Tasks Alert: This option sends a text message to residents once a work order has been generated from their voicemail message.
- Proof of Task Completion: This option requires a photo to complete a work order.
Maintenance Survey
This option sends a Resident Satisfaction text message once their emergency maintenance request is marked complete by the on-call maintenance technician. It will prompt residents to provide a rating on a 1 to 5 scale.
If a resident replies with a 4 or 5, they will receive a follow-up text encouraging them to write a review. If they submit a review it will be included in the audit trail for the emergency maintenance request.
If they reply with a 3 or below, they will receive a follow-up text that encourages them to call the office during normal business hours so they can discuss their issue and ensure it is resolved to their satisfaction.
Create Tasks Alert
This option sends a text message to residents once a work order has been created in HappyCo from their voicemail message. This ensures residents that their service request has been logged and in the queue to be resolved.
Proof of Task Completion
This option requires the maintenance tech to upload a photo into the activity log before a task can be marked as complete. This helps serve as a record that work has been done to resolve the maintenance request raised by a resident.
Troubleshooting Text Message Issues
If you're not receiving emergency text messages, try the following troubleshooting steps:
- Verify that you have opted in for text communications in your account settings
- Check if your phone is blocking messages from unknown numbers
- Verify your phone's text message settings
- Confirm that your phone number is correctly registered in the system
- Check with your mobile carrier for any restrictions on automated texts
