This article covers how to setup your Templates to require certain fields be filled out when an inspection is complete.

By enabling the Required Fields feature, capturing data for necessary items in your inspections will be mandatory in order for the inspection to be completed. If a required item isn’t checked, the Happy Property: Maintenance app Required Fields feature will remind you to verify it.

The Required Fields feature helps you capture the photos, ratings, and notes you’ll need as documentation for any damages. If you want to make sure you and your team are taking photos of certain inspection items, making critical notes, and inspecting areas that are high-priority, you won’t have to worry about missing any crucial details you’ll need in the case of damages.

To set up required fields, follow these steps:

• To set up your template with a required item, you’ll need to have an Admin or Process Manager role to edit the template

• Log in to Happy Manage at www.happy.co

• Click the Settings icon (cogwheel) in the top right

• Click on the Templates tab in the left side menu under Setup

• Click on the template you wish to edit to open the preview

• Select the Edit Template button in the top right corner

• Find the item you’d like to make Required, and click on it

• In the Edit Item panel on the right, click the Required checkbox

• Remember to save the change by clicking Update Item in the bottom of the panel

• Save your template changes by clicking Save & Exit in the top right 

How to require Photos

If you’d like to ensure your team is taking photos, you’ll simply need to add a rating to the necessary item and check off the Require Photo checkbox:

• Click the item

• Ensure that the Required checkbox is checked

• Add a new rating by clicking the plus + under Rating Set

• Select a checkbox button style rating

• Select the Require Photo checkbox

• Remember to save the change by clicking Update Item in the bottom of the panel

• Save your template changes by clicking Save & Exit in the top right

Require Photos in certain situations (without requiring the item itself)

Sometimes a part of your inspection requires a photos only. If you’d like to require photos be added, you’ll only need to add a rating to the necessary item and check off the Require Photo checkbox, without checking the Required checkbox for the item itself:

• Click the item

• Add a new rating by clicking the plus + under Rating Set

• Select a checkbox button style rating

• Select the Require Photo checkbox

• Remember to save the change by clicking Update Item in the bottom of the panel

• Save your template by clicking Save & Exit in the top right

When your team uses the Happy Property: Maintenance app’s Required Fields feature you can be confident that you’re capturing everything your office staff need from the inspection. The Required Fields option takes the guesswork out of inspecting, making it easy to know exactly what you need to focus on during your walkthrough.

It’s easy to see at a glance which items have a Required rating, photo, or note. Visual cues show you what you need to capture by indicating the requirement with parentheses around the item in Inspection mode.
