Overview
The Yardi Rent Ready Automation feature gives property admins control over how units are marked as Rent Ready in Yardi from HappyCo's Project Board. Admins can choose from three modes per property — from no restrictions through to fully automated marking when a Make Ready project is completed.
Getting Started
This feature is enabled by the HappyCo team for your account. Once enabled, your property admins can configure it per property in Settings → Project Boards → Automation
To configure a property:
- Go to Settings in Happy Property
- Open Project Boards → Automation
- Under Rent Ready Behaviour, select one of the three modes (see below)
- Save your settings
The setting takes effect immediately for new projects on that property. Each property can have a different mode or you can assign the setting to all properties. Note that this feature only works for Yardi integrated properties.
To change the mode: Return to Project Boards → Automation for that property and select a different option.
This feature is available for Yardi customers only.
The Three Modes
Mode 1: Mark Rent Ready at Any Time
This is the default setting. There are no restrictions — users can mark a unit as Rent Ready at any point during a Make Ready project, even if tasks or inspections are still outstanding.
Choose this mode if your team manages rent ready timing manually and doesn't need system-level enforcement.
Mode 2: Require All Items to Be Complete
The system blocks the "Mark Unit as Rent Ready" action until every task and inspection in the Make Ready project is marked complete. If a team member tries to mark a unit early, they'll see a message indicating that all project items must be finished first.
Once all items are complete, a team member still needs to manually press "Mark Unit as Rent Ready" to trigger the Yardi sync.
Choose this mode if you want to enforce make-ready standards but keep the final confirmation step in your team's hands.
Mode 3: Auto-Mark on Project Completion
When the final task or inspection in a Make Ready project is marked complete, HappyCo automatically:
- Marks the unit as Rent Ready
- Sets the Date Ready to today's date
- Syncs the Date Available field in Yardi
No manual step is required from your team. The system handles the Yardi update as soon as the project is complete.
Note: If a unit is already marked as Rent Ready in Yardi, the system will not send a duplicate update.
Choose this mode to fully automate the handoff from make-ready completion to Yardi — ideal for high-volume properties where manual steps are a common source of delay or missed updates.
Yardi Sync Behaviour
When a unit is marked as Rent Ready (either manually or automatically), HappyCo syncs the following fields to Yardi:
- Date Ready — Set to the date the unit was marked Rent Ready
- Date Available — Set to today's date
This applies in both Mode 2 (when manually marked after completion) and Mode 3 (auto-marked). In Mode 1, sync behaviour is unchanged from before this feature.
Frequently Asked Questions
What's the difference between Mode 2 and Mode 3?
Both modes require all project items to be complete before a unit can be marked Rent Ready. The difference is who triggers it: in Mode 2, a team member still needs to press the button once everything is done. In Mode 3, HappyCo does it automatically the moment the last item is completed.
Can I use both the gate and auto-mark at the same time?
No — the three modes are mutually exclusive. You select one per property or you can apply the same setting to all of your properties. Mode 3 (auto-mark) inherently enforces completion since it only fires when all items are done, so there's no need to combine it separately with the gate.
What if the Yardi sync fails?
If the sync encounters an issue the system will retry the sync five times, if all sync attempts fail, the HappyCo team will be notified. Reach out to your Customer Success Manager if you suspect a unit's rent ready status hasn't updated as expected in Yardi. In-app failure notifications are being added in a future release.
Will a mode change affect projects already in progress?
The setting applies to projects going forward from when it's saved. It won't retroactively affect projects that were already completed, or change the state of projects currently in progress.
Is this available for Entrata or other PMS integrations?
Not yet. This feature is currently available for Yardi integrations only.
Who can change the Project Board Settings?
Property team members with access to the Project Boards settings can configure these settings. If you don't see the option, contact your HappyCo Customer Success Manager to confirm the feature is enabled for your account.
