Contacts represent the key operational and leadership roles for each property – from onsite positions like Maintenance Supervisor and Property Manager, to regional roles such as Regional Property Manager, and up through executive roles including Division President, Vice President, and Executive VP.

Each Contact is assigned to a person. Any work routed to that Contact automatically goes to the assigned person, and if staffing changes, the new person inherits all existing and future work for that Contact. This ensures continuity, reduces manual reassignment, and keeps ownership clear across Tasks/Work Orders, Inspections and Projects.

Accessing Contacts

  1. Log in to Happy Manage
  2. Click Settings
  3. Select Admin Center
  4. Open Properties
  5. Choose a property
  6. In the side drawer, select the Contacts tab

Default Contacts

Each property comes with 21 predefined Contacts:

  • Accounting Manager
  • Asset Manager
  • Assistant Property Manager
  • Capital Projects Manager
  • Construction Manager
  • Director of Facilities
  • Division President
  • Executive Vice President
  • Facilities Manager
  • Maintenance Supervisor
  • Portfolio Manager
  • Property Manager
  • Regional Facilities Manager
  • Regional Maintenance Manager
  • Regional Property Manager
  • Regional Supervisor
  • Regional Vice President
  • Senior Asset Manager
  • Senior Vice President
  • Vice President
  • Unit Renovations Manager

These Contacts represent the structured roles in your organization. They cannot be renamed, but you can assign any person to each Contact.

Assigning People to Contacts

To assign or update the person tied to a Contact:

  1. Open the Contacts tab for the property
  2. Select a Contact
  3. Choose a person from the dropdown
  4. Save your changes

Only one person can be assigned to each Contact at a time.

Contacts in Make Ready Projects

Contacts can be assigned at both the Task/Work Order, Inspection and Project levels:

  • Tasks/Work Orders within a turn can be assigned to a Contact
  • A Project owner can also be a Contact
  • If staffing changes, ownership updates automatically for all linked work

This keeps turn progress accurate without manual cleanup.

Troubleshooting

Work isn’t assigned to the right person

  • Confirm the work is assigned to a Contact, not an individual
  • Check that the correct person is assigned to that Contact
  • Verify that the user has property access

Assignments didn’t transfer after a new hire

Only work assigned to Contacts will transfer. Person-specific assignments remain with the original user.

Contact shows no available people

That person may not have access to the property. Update their permissions in Admin Center → Users.

Contact has no person assigned

Work assigned to that Contact will appear unassigned. Add a person to restore routing.

FAQs

Can I add or rename Contacts?

No. The system includes a standardized set of 21 Contacts.

Can multiple people share one Contact?

No. Contacts support a single assigned person to ensure accountability.

Do Contacts sync from our PMS or HR system?

No. They are maintained manually in Admin Center.

Do Contacts affect notifications?

Yes. The assigned person receives all notifications for work tied to that Contact.
