Tasks is Happy Property's work order management feature. It lets your team create, assign, track, and complete maintenance work in one place.

When PMS integration is configured for your account, tasks can sync with your property management system. Tasks also connect natively with Inspections: when an inspection is completed, items configured on the inspection template to generate tasks appear in your task list with associated photos and notes.

Accessing Tasks

  1. Log in to Happy Property.
  2. Select the property or property group you want to work in.
  3. From the main navigation menu, select Tasks to open the Task List.
  4. To open the unit-turn Projects board, select Projects from the main navigation menu.

Note: Make Ready is a separate settings area used to configure make-ready defaults and materials. It is not the entry point for the Projects board.

The Task List

The Task List gives you a consolidated view of tasks for your selected property or group. By default, the list shows open work orders, but you can switch tabs to view completed or all tasks.

Tasks are displayed in a table with these columns:

Depending on your account configuration and the tab you have selected, you may also see:

  • Type — work order type (e.g., Service Request, Turn)
  • Created — how long ago the task was created (on the Open tab)
  • Completed — when the task was completed (on the Complete tab)

Badges and sorting

Urgent tasks display a red priority tag. On Hold tasks display a yellow status tag.

By default, open tasks are sorted by Scheduled date (earliest first). Click any column heading to sort by that column.

Quick filters

At the top of the Task List, use the quick-filter controls to switch between:

  • Work Orders and Project Tasks
  • Open, Complete, and All (where available)

Searching and Filtering

Use the Search bar at the top of the Task List to find tasks by keyword.

To apply advanced filters, click the filter icon on the search bar to open the filter panel. From there you can filter by:

  • Assignee (including unassigned)
  • Category
  • Location
  • Resident
  • Status
  • Type (when enabled for your account)
  • Urgent
  • Scheduled date range
  • And other options depending on your account configuration

Toggle filters on or off as needed. Click Apply Filters to update the list. Clear filters from the search bar or reset selections in the filter panel.

Tip: If you are not seeing tasks for specific units, check that no filters are applied and that you have selected the correct property or property group.

Task Details

Click any task in the list to open the Task Details panel. Here you can view and edit information related to the task.

  • Category & Subcategory — shown at the top of the panel
  • Priority — Normal or Urgent; editable from the panel header
  • Status — Open, On Hold, or Complete (and Canceled where enabled)
  • Assignee — click to assign or reassign. The assignee may receive a notification depending on your account setup and assignee type (users vs. vendors)
  • Scheduled date — click to set or update the scheduled date
  • Reporter — the person who raised the task
  • Entry instructions — permission-to-enter settings and entry notes
  • Resident details — residents and contact numbers attached to the task
  • Description — free-text notes; click to edit
  • Project / Stage — link the task to a Make Ready project and stage
  • Activity — post updates or questions. Click Attach Files to add photos or documents. Click Comment to add a comment

Completing a Task

When the work is done, use the completion button at the bottom of the Task Details panel. The button label depends on your business's completion requirements:

  • Complete Task
  • Complete Task with Comment
  • Complete Task with Photo

If PMS integration is enabled for your account, completed tasks can sync back to your property management system according to your integration configuration.

Creating a Task

New tasks can be created directly in Happy Property:

  1. Click New Task.
  2. Select a Category and Location.
  3. Select the task Type (when enabled for your account).
  4. Set the Scheduled date and confirm the Assignee (new tasks are assigned to you by default — click Assignee to reassign).
  5. Optionally add a Reporting Resident, entry instructions, and a Description.
  6. Click Create Task.

Note: If you assign a task to a vendor at creation, the vendor is not automatically notified. You may need to notify the vendor separately from the task detail view.

Tasks and Inspections

Tasks is natively integrated with Inspections. When an inspection is completed, any item whose template rating is configured to generate a task automatically appears in your Task List, along with associated photos and notes.

Tasks can also be viewed and managed in the Happy Property: Maintenance mobile app (HPMA), where Inspections and Tasks live in the same app.

Make Ready Projects Board

The Projects board gives you a list view of unit-turn progress across your property. Open it from the Projects icon in the main navigation menu.

Each row represents a unit-turn project. Columns may include unit, property, progress, status, priority, assignee, move-out date, target availability, and more depending on your board configuration.

Common project status values include:

Project Details

Click any project row to open the Project Details panel. From here you can:

  • View tasks and inspections grouped by Stage (e.g., Pre Move-out, Move Out, Paint, Maintenance, Flooring)
  • Assign a Project Assignee responsible for the overall turn
  • Set a Move In date and Target Availability date
  • Add Notes for the project
  • Click any task or inspection within a stage to open its details

Adding a Task from the Board

You can add a new task directly from the Project Details panel without leaving the board. Click New Task at the bottom of the panel.

Searching and filtering the board

Use the search bar and filter options at the top of the Projects board to find specific units or filter by status, priority, assignee, and more.

Note: Tasks must be linked to a project and stage to appear on the Projects board. If you are not seeing a unit or its tasks, confirm the project is set up correctly and the tasks are assigned to the appropriate stage.
