Key Concepts

Scheduled Date

All tasks in Happy Property feature a Scheduled Date, which replaces the traditional due date.

  • Default State: Newly created tasks are unscheduled by default. This applies to all tasks, whether they are created manually or generated automatically via an inspection.
  • Work Orders: Providing a Scheduled Date is optional when submitting a task for a work order.
  • Make Ready Projects: If a project stage contains only new, unscheduled tasks, the stage will display with no date.

Resident Signatures on Tasks

For customers who require residents to sign tasks as confirmation of satisfactory work completion or for legal reasons, you can capture resident signatures directly on work orders.

  • Signature Details: When a task is signed, you can view the signature date, who signed, and a .png image of the signature.
  • Visibility: Attached signatures can be viewed within both the mobile app and the Manage web application.
  • Multi-Signature Support: Multiple signatures can be added to a task while it is in the "Open" state. You can also assign a name to each individual signature added.
  • Optional Capture: Signatures on tasks are optional; users are still able to complete tasks without adding a signature.

Task Age

Both the mobile app and web portal now display the "age" of each task, indicating how long ago the task was originally created.

Requirements and System Limitations

  • Printable Reports: Printable Tasks "reports" are not supported at this time.
  • Unified List Removal: The option to view all tasks in a single, combined list has been removed. Work orders and projects are kept strictly separate.

Interface and View Updates

Mobile App (Happy Property: Maintenance)

  • Separate Tabs: Work orders and Projects are displayed in separate tabs to keep lists distinct.
  • Scheduled vs. Unscheduled Grouping: The projects view separates tasks into distinct "Scheduled" and "Unscheduled" groups. Tasks without a scheduled date will appear in the "Unscheduled" section.
  • Task Counts: The number of maintenance or project tasks is displayed next to their respective titles.
  • Task Age: The maintenance view clearly displays the age of each task.

Web Portal

  • Task Age: The "Created" column on the maintenance task list displays how long ago each task was created.
  • Quick Filter: A quick filter option is available on the task list. The system displays the maintenance view by default.

Are resident signatures required to complete a work order?

No. Signatures on tasks are optional. Users can complete tasks without adding a signature.

Can we collect more than one signature on a single task?

Yes. Multiple signatures can be added to a task as long as the task is in the "Open" state. You also have the ability to assign a name to each individual signature you add.

Where can I view captured signatures?

You can view attached signatures (including the signature date, who signed, and the .png image of the signature) in both the mobile app and the Manage web application.

What happens to a Make Ready project stage if none of the tasks have dates?

If a project stage contains only new, unscheduled tasks, the stage will display with no date.

Can I still view all of my tasks in a single combined list?

No. The option to view all tasks in a single, combined list has been removed from both the mobile app and the web portal to keep Work orders and Projects distinct.
