Overview
This article covers how to create, start, and schedule inspections using HappyCo.
- Manage (Web) allows you to create and assign new property-level or unit-level inspections and optionally schedule them or set due dates. Note: Inspections created directly in Manage will not sync with your Property Management System (PMS).
When to Use This
- Use Manage when you need to set up, assign, or schedule inspections from a desktop, especially if they do not need to sync back to your PMS.
Requirements
- Your role has to be enabled to create inspections via the "create inspections" permission; if you're unable to create inspections, reach out to your Administrator to review your role.
- Access to a web browser and login credentials for HappyCo Manage (to use the web workflow).
Steps
Creating & Scheduling Inspections
- Log into Manage and select your property folder.
- Select the Inspections tab on the left (under Apps).
- Click the New Inspection button in the upper right corner. This will open a window on the right side of the screen to enter the inspection details.
- Select your Template from the drop-down menu. Make sure templates are created and configured in the admin center before this step.
- Select your Location from the list, or type the location into the Search box.
- Note: For property-level inspections, select the property location instead of an individual unit.
- Adjust the scheduling and assignment. You can manually alter the Scheduled date, Due Date, and Assignee in this window. (Optional):
- The inspection will default to Scheduled: Today.
- If a due date is selected: You can toggle on the option to expire the inspection once past due. If auto-expire is enabled, the system will mark the inspection as expired automatically after the due date passes. If auto-expire was not enabled, the inspection will remain open but show as past due.
- Inspection assignee options are tied to users who have access to the property; it may include broader-access admin/corporate users unless product filtering excludes them. If an assignee is added, they will receive an email invitation to complete the inspection.
- Click Create Inspection.
Troubleshooting
- Issue: The New Inspection button is not appearing in Manage.
Cause: This usually means the user does not have the required permissions to create inspections, or inspections are not enabled for the selected property or account.
Resolution: Confirm you are accessing the correct property and that your user role includes permission to create inspections. If the button is still missing, contact your account administrator to review your access and property configuration.
- Issue: Inspection templates are not appearing in the template dropdown.
Cause: Templates may not be assigned to the selected property, may be inactive, or may not be available for the inspection type being created.
Resolution: Verify that the correct property is selected and that the expected template has been added for that property. If the template should be available but does not appear, Support can review the template setup and confirm whether it is active and properly assigned. - Issue: The location list is not showing the expected units.
Cause: The selected property, folder, or location group may not include those units, or the units may not be active or correctly linked in the system.
Resolution: Confirm you are creating the inspection under the correct property. If the units are still missing, provide examples of the missing unit names or numbers, and contact Support to verify whether they are active and correctly associated with the property. - Issue: The inspection was created but is not visible after saving.
Cause: The inspection may have been saved under a different property, location, status, or filter view. In some cases, the inspection list may need to be refreshed before the new inspection appears.
Resolution: Please refresh the page and clear any active filters, then check the relevant property, location, and inspection status. If the inspection still does not appear, provide the inspection details used during creation to Support for review.
FAQs
What operational consequence does an expired inspection have?
Once expired, the inspection is generally no longer available for completion, and it does not count as completed. Expired inspections may appear in reporting depending on the report or date range used
Will inspections created in Manage sync with my PMS?
No. Inspections created using the Manage creation workflow will not sync with your PMS.
How do I set up a property-level inspection instead of a unit-level inspection?
When creating the inspection in Manage, make sure to select the main property location instead of an individual unit from the location list.
Can I set an inspection to expire automatically if it is not completed on time?
Yes. In Manage, if you select a Due Date while creating an inspection, you can toggle on the option to automatically expire the inspection once it passes its due date.
What should I do if the warning says an identical scheduled inspection already exists?
Creating a duplicate inspection may cause issues when syncing to a PMS where an identical inspection already exists.
