Background
In the legacy app, users could duplicate inspections to save time. However, this practice often resulted in:
- Old data being unintentionally carried over.
- Teams overlooking outdated notes or ratings.
- Misrepresentation of inspection quality.
What Changed?
The new Inspections app removes the ability to duplicate inspections. Instead, it uses Outlines & Floor Plans + Templates to achieve a similar goal—without the risks. Plus, the enhanced user experience means that on-the-go template editing is quicker and simpler.
Option #1 (recommended): Using Outlines Instead of Duplication
How It Works
-
Specify floorplan for Units (or Properties for single family users)
- Choose a Property from the Property Picker
- In the left menu choose>Units and Areas (Properties for single family users)
- Click on a Unit/Property and fill out "Floorplan"
- use a code like 1x1 (for 1 Bedroom & 1 Bathroom)
- these codes will be used to auto-populate sections in your inspections (so you can use the same template for multiple configurations of unit or property)
- Ensure floorplan is populated for all Units (for multi family users)/Properties (for single family users)
-
Set Up Outlines in Your Template
- In the Manage app, open your template. Settings>Templates>[your template]
- Download the outlines template
- In Excel (or equivalent), under the Outlines tab:
- define "Outlines" with the same codes you used in the "Floorplan" fields for Units/Properties (e.g., "1 x 1" or "2 bed 2 bath)
- For each outline, specify how many of each section (e.g., bedrooms, bathrooms) should appear.
- Save as .xls
- On the Template page, from the overflow menu (three dot icon), choose "Import Template"
- import the .xls that you imported
- you can choose to create a new template or replace an existing template

-
Creating Inspections Using Outlines
- In the mobile app, start a new inspection.
- Choose the unit/property (with a floor plan you entered in Step 1).
- Choose the inspection template (that respects your new outlines you defined in Step 2)
- The app uses the outline to load only the relevant sections (e.g., 3 bedrooms, 2 bathrooms).
What If There’s No Floor Plan?
You’ll be prompted to choose a layout from the available outlines when starting a new inspection.
Benefits
- No outdated data is carried over from a previous inspection (previously entered ratings)
- Sections and items match the property’s layout.
- Faster inspection creation and operation with fewer chances for error and less editing the inspection.
Option #2: Duplicating a Master Template
Use Case
If outlines don’t fit your workflow, you can create a Master Template and duplicate it as needed.
Steps
-
Build a Master Template
- Include all possible sections for all Units/Properties. You won't use this to create inspections but rather to duplicate and edit.
-
Go to Templates in Manage
- Click the overflow menu (⋮) next to the template.
-
Select 'Duplicate' and Customize
- Click on the duplicate and name it to suit your Unit/Property.
- Edit Template by customizing sections for a specific property.
This allows for high customization while retaining basic structure and data consistency.
Usability improvements
Delete Sections Quickly
- Tap Edit Sections in the inspection.
- Remove multiple sections at once (e.g., Powder Room, Garage, Basement).
Add Sections Easily
- Tap the + Add Section button.
- Choose from all available sections in the template.
Navigate Efficiently
- Use the section picker to jump between rooms.
- No need to reorder—just skip to what matters.
Default Ratings
- Set default values (e.g., all items rated "Good") in the template to speed up inspections.
Bulk Apply Ratings in the App
- Tap and hold a rating to apply it across a section or entire inspection.
