HappyCo is excited to be partnering with SurfaceAI to deliver Continuous Lease Audits (CLA) - automated continual lease audits performed daily that proactively detect variances and help properties recover revenue.

Whether you are an Asset Manager looking to increase property NOI or an Operations Manager looking to maintain tight compliance, Continuous Lease Audits is a necessary product to add to your toolkit.

Pre-Requisites

To use this product there are a few conditions that need to be met for each company & property, including:

• Your company must be subscribed to Happy Property (either Happy Property Lite or Standard)
• Properties using CLA must be using either Yardi or Entrata as the PMS for accounting 
• Properties using CLA must be full onboarded and out of "launch" for Happy Property

Continuous Lease Audits is meant to be used by both Operations and Asset teams! As long as your company is subscribed to Happy Property, then your Happy Asset users are also eligible to use the product! 

*Note - Continuous Lease Audits is an Add-On product, which is an additional cost and billed as a separate line item from your other product subscriptions. 

How to Enable

Enabling CLA for Your First Property

Contact your Sales Representative or your Customer Success Manager to assist you in placing your initial order. If you do not have either, please use this HappyCo Demo link, fill out the contact form, and a HappyCo Sales Representative will reach out to you to answer questions and help you place the inital order. 

• Ensure that your email address, or the email address of whomever should be configuring CLA, is on the sales order.
• After the order is placed you will receive a welcome email outlining what to expect and who to contact for support. If you need help enabling Continuous Lease Audits, contact HappyCo Support (support.happy.co). If you need help using the product, contact SurfaceAI Support (operations@getsurface.ai)
• Wait for 1-2 business days for the order to process. Once processed, navigate to the Provisioning Portal:

• Select the property or properties for which you would like to activate CLA. Navigate to the Add-ons section. A new add-on option will show for Continuous Lease Audits add-on. Once added, the status will show as "Activation Pending:

  

• Within 1 business day (likely within 1 hour) you will receive an email coming from noreply@getsurface.ai inviting you to schedule a time to configure your property PMS for integration and audit automation:

•  SurfaceAI will provide a white-glove experience with getting your property configured and enabling audits to run continuously.
• After this, sit back and relax! Now you'll simply wait for notifications to come in from SurfaceAI, advising you of any actions that need to be taken when a variance is discovered. 

Enabling CLA for Subsequent Properties

After your initial product order, the process is simple. For every property for which you would like to add CLA, navigate to the Provisioning Portal, select the property, and add Continuous Lease Audits as an Add-on. Our billing team will be notified and will update your billing contract accordingly. 

• Every time you add CLA to a property, you will receive the SurfaceAI welcome email, inviting you to schedule a time for configuration.
• After configuration, your property is all set and users just await SurfaceAI notifications when a variance is found.

Using Continuous Lease Audits

Granting Permission

Admins can control which users have access to view and manage Continuous Lease Audits using the new permission called "View & Manage Continuous Lease Audits":

Navigate to Admin Center, select the role that you'd like to assign the permission to, search for the permission, and check the box. Repeat this process for both Happy Property and Happy Asset roles (if applicable):

Using the Product

As a permissioned user you will see Continous Lease Audits at both the account level and property level in Happy Property and Happy Asset (if applicable):

Users will notice this feature works as a link-out to SurfaceAI. To create a more seamless experience, HappyCo and SurfaceAI are providing a passwordless, "Magic Link" authentication process. Users simply enter their email the first time they click on the Continuous Lease Audits navigation button and a verification email will be sent:

From here, check your inbox and click on the link to authenticate and continue to SurfaceAI:
 

If the property has not yet been through setup and configuration, the user will be notified that setup is pending:

If property setup and configuration is complete, the user will see the Lease Audits landing page:
