This article covers the types of reports, how to create them, and how to locate them once generated in app.

Overview of Reports in Inspections App

  • Reports allow you to convert your inspection data into an easy to read document

  • This document can be branded and formatted to suit your needs and can be shared from your device or downloaded as PDF

  • Reports are a snapshot of your inspection from the point in time when the report is created

  • You are not able to edit the rating selections, notes or photos in a report

  • To make changes, you will need to edit the original inspection and then generate a brand new report

 

Two Types of Reports

  • There are two types of reports in the Inspections app

  • The Standard report is the presentation of one inspection in your report

    • You can also prepare Standard reports on our Happy Manage portal

  • The Comparison report shows two inspections, or leaves room to show two inspections, on your report

    • Our comparison reports are known as Move In and Move Out reports

  • These Comparison report show one inspection on the left-hand side of the report and leaves room for a corresponding Move In/Out report to be prepared and displayed on the right-hand side at a future point in time when a second inspection has been conducted

  • Please note: Comparison reports will only pull inspections created using the same template

 

Creating a Standard Report to Complete an Inspection

  • If you're in your inspection, our most common workflow to finish is to create your report immediately

    • This often ties in with the collection of signatures from tenants or yourself as documentation of the date and time of the inspection

  • On your iPhone or iPad, to create a report from your inspection tap the Plus in Paper icon at the top of the screen next to the checkmark.

  • You will be given the choice of which type of report, select Standard.

  • In the Report Preview you can customize the report, add a logos or business details by tapping Settings down the lower left to access your report settings.

  • As well, you can collect signatures on your device by tapping Finalize and Sign, you can email the link to your report by tapping Share in the lower right, or complete the report by tapping the checkmark up the top right.

  • On your Android device, to create a report while still in your inspection tap the purple, floating action button in the lower right-hand corner and tap Add Report.

  • You will then be asked which type of report, select Standard.

  • You will then be asked which report preset you would like to use

  • After selecting your preset, you will then be on the Report Preview screen

  • You can select Settings up the top right to alter the way it's presented, or tap the checkmark in the floating action button in the lower right-hand corner to collect signatures and/or share the report.

 

Creating a Move In Report to Complete an Inspection

  • Move In reports are really important, as the data you capture for this report will be pulled into the Move Out report as a comparison.

  • After you've finished your move in inspection and before creating your Move In report, ensure the layout in your inspection is finalized, that there's no extra sections or items to add.

    • Any changes to the layout during your future move out inspection may cause formatting issues with the comparison reports you will prepare in the future.

  • To create a Move In report on iPhone or iPad, from your inspection screen tap the Plus in Paper button in the top right.

  • You will be given the choice of which type of report, select Move In.

  • In the Report Preview you will see all the data is relegated to the left of the report.

  • From here you can customize the report, add a logos or business details, by tapping Settings down the lower left to access your report settings.with the report settings.

  • As well, you can collect signatures on your device by tapping Finalize and Sign, you can email the link to your report by tapping Share in the lower right, or complete the report by tapping the checkmark up the top right.

  • On your Android device, to create a Move In report, while still in your inspection tap the purple, floating, action button in the lower right-hand corner and tap Add Report.

  • You will then be asked which type of report, select Move In.

  • You will then be asked which report preset you would like to use, these are covered in our Help Article: Customizing your Reports in Android. 

  • After selecting your preset, you will then be on the Report Preview screen and you can select Settings up the top right to alter the way it's presented, or tap the checkmark in the floating action button in the lower right-hand corner to collect signatures and/or share the report.

 

Creating a Move Out Report to Complete an Inspection

  • Inspections creates Move Out reports by looking for a previous Move In report.

  • If you've completed a move in inspection but didn't get around to preparing the Move In report, the Inspections app will look for the data from the next most recent Move In report.

    • If you're having trouble with Move Out reports, make sure all of your move in inspections have reports prepared.

  • As mentioned above, there may be issues with the formatting of your Move Out report if you've modified the layout of your inspection during the move out inspection.

  • To make sure the comparison works as intended avoid where possible, modifying and adding sections to the move out inspection.

  • Where possible ensure you get the layout correct during the move in inspection.

  • To create a Move Out report on iPhone or iPad, from your inspection screen tap the Plus in Paper button in the top right.

  • You will be given the choice of which type of report, select Move Out.

  • In the Report Preview you will see all the data from the previous Move In report on the left and the ratings, photos and notes from the move out inspection on the right.

  • From this Report Preview screen you can customize the report, add a logos or business details, by tapping Settings down the lower left to access your report settings.with the report settings.

  • As well, you can collect signatures on your device by tapping Finalize and Sign, you can email the link to your report by tapping Share in the lower right, or complete the report by tapping the checkmark up the top right.

  • On your Android device, to create a Move Out report, while still in your inspection tap the purple, floating, action button in the lower right-hand corner and tap Add Report.

  • You will then be asked which type of report, select Move Out.

  • You will then be asked which report preset you would like to use, these are covered in our Help Article: Customizing your Reports in Android. 

  • After selecting your preset, you will then be on the Report Preview screen and you can select Settings up the top right to alter the way it's presented, or tap the checkmark in the floating action button in the lower right-hand corner to collect signatures and/or share the report.

 

Creating a Report from a Previously Completed Inspection

  • Reports are a snapshot of an inspection at a point in time.

  • The inspection ratings, photos and notes at that time and your report settings as they were at that moment are captured and stored in your report.

  • Reports, including their signatures, can not be adjusted once they have been completed or shared.

  • To make changes to a report, you need to prepare a new report from the same inspection.

  • To create a new report from an existing inspection find your inspection by searching for your unit or property, tapping into it, then reviewing the list of inspections.

  • Tap into the inspection you need to prepare your new report from.

  • On iPhone and iPad, tap the Plus in Paper button in the top right and then Create New.

  • The steps are then the same as above to prepare the type of report you need, customize the settings, and complete the report.

  • On an Android, tap into the completed inspection and tap the purple, floating, action button down the lower right corner, then tap Add Report.  

  • The steps are then the same as above to prepare the type of report you need, customize the settings, and complete the report.

 

Finding Previously Completed Reports

  • To find report you've previously completed, search under the unit or property.

  • On iPhone or iPad, underneath the unit or property address details, there are two tabs, Inspections and Reports.

  • Tap the Reports tab to see your list of previously completed reports.

  • On Android, previously completed reports are stored with the inspection.

  • Tap into your completed inspection, tap the purple, floating action button down the lower right and select View Reports.
