Navigating Task Details in Happy Property

  • To open task details, select a task from the task list in the maintenance or project tasks tab.

Location and created date

  • The location of the task and the time at which the task was created are located at the top of the task details screen.
  • If the task location is incorrect, you can tap on the location and select a new location from a list of units or common areas in the property that is selected.
  • The created at date cannot be changed. However, if the task was created over 48 hours ago it will indicate this by turning red in color.

Task description

The task description tells your team what work needs to be done. This information is visible to your team and to residents. The description can be updated any time by tapping on the description and updating the text using the text input field.

Resident information

  • The resident information displays the entry notes and the residents’ contact information on the task details screen.
  • The entry notes articulate whether the user has a right to enter the unit at any time, or if permission is required to enter the unit. This information is often attached to the unit and can be inherited by the PMS integration.
  • The resident information is displayed, so that if your team needs to contact a resident for any reason, they may do so by tapping on the phone icon next to the contact information.
  • While the Work Order Detail screen allows the user to copy the number, it does not allow the user to call or text the resident.

Priority

  • Users may mark tasks as urgent on the task details screen via a radio button.
  • If a task is marked as urgent, the task will turn red and will appear at the top of the tasks list in a section marked ‘urgent’ so that they are easy to find.

Schedule and assign tasks

  • Your team may schedule tasks to be completed on a particular day using the scheduled date on the task details screen. This may allow your team to organize their work week.
  • Your team may assign tasks to particular users by tapping on the assignee option on the tasks details screen. This may help each member of your team manage the work to be done.

Task status

Open

  • When a task is created, it will automatically inherit the ‘open’ status. In this status, changes may be made to the task.
  • Tasks that are open will appear in the tasks list on the Happy Property: Maintenance app.

On Hold

  • Tasks may be marked as ‘on hold’ on the Happy Property: Maintenance app. Tasks may be put on hold if your team cannot progress with the task at the current time.
  • To put a task on hold, simply tap the ‘put on hold’ button at the bottom of the tasks details screen. When a task is on hold, the task will turn yellow.
  • To take a task off hold, tap on the ‘reopen task’ button at the bottom of the task details screen.

Completed

  • Once your team has completed the work required, the task may be marked as completed by tapping the ‘complete task’ button at the bottom of the screen.
  • When the task is completed, it will no longer appear in the task list screen and changes to the task cannot be made unless the task is reopened.

Find and reopen a completed task

Find a completed task

  • Tasks which have been completed will not appear in the tasks list on the Happy Property: Maintenance app.
    • To find a completed task, go to the filter at the top of the tasks lists and select ‘completed’ option in the task status section.
  • When you return to the task list, you will see completed tasks on the device in which the tasks were completed. Tasks that were completed on other devices will not be shown here, but may be accessed via manage.

Reopen a completed task

  • To reopen a completed task, open the task from the filtered list of completed tasks and select the ‘reopen task’ button at the bottom of the task details screen.

Task activity

  • The task activity is a record log of all activities that have been completed on a task. This may be used to provide team members with context as to what has already been done, or to use as an audit trail for any other purpose.
  • The task activity can be accessed by navigating to the ‘activity’ tab at the top of the task details screen.
  • In this tab, you will see a log of all activities that have been, by who they were completed and the times at which they were completed.

Task attachments

  • The task attachments is a condensed view of all photos and files that have been added to the task.
  • The task attachments can be accessed by navigating to the ‘attachments’ tab at the top of the task details screen.
  • From this screen, you can open images or files by tapping on them.

Removing task attachments

  • You can remove images or files from tasks. Note that when attachments are removed from tasks, this action will be recorded in the activity tab.
  • To remove an attachment from a task, navigate to the attachments tab and press the ‘edit’ button at the bottom of the screen. This will open edit mode. In edit mode, you can select the items which you would like to delete, once you have selected these, you may remove items by tapping the ‘remove’ button. Items will be removed from the task. To exit edit mode, tap the  ‘leave editing’ button.
  • You may also long press the attachment in the activity tab which will bring up a bottom sheet. To confirm you wish to delete the attachment, tap ‘remove’ and the attachment will be removed from the task.
