These are instructions for the newest version of our Application and Leasing product!
Once an application has been approved, it’s time to prepare the lease documents for your applicant(s) to sign.
⚠️ Important: Only the Assigned Agent on the application can countersign the lease.
1. Confirm Agent Assignment
Head to the Application Overview tab and make sure the correct agent is assigned.
2. Create the Lease
Go to the Review tab of the application and click Create Lease to begin.
3. Choose Your Lease Documents
In the Create Lease drawer, choose a single lease with addenda or a pre-made document package.
⚠️ Note: Your ability to add or remove documents from a package depends on how your Property Team Admin set it up.
4. Add Additional Documents (if needed)
Use the Add Document dropdown to include any extra documents your applicants need to sign.
5. Review & Customize Before Sending
Click Preview & Send to open the document(s), populated with all relevant information. At this stage, nothing has been sent yet.
You’ll be able to:
- Review the populated lease info
- Make edits (if enabled by your property team) by selecting Me (now) from the Signer dropdown. Your markups will save—just like writing on paper!
- You can also exit the preview and update information if you need to
6. Send for Signature
When you're ready, click Send for Signature. Applicants will be notified that it’s time to sign!
The application status updates to Lease in Progress > Applicant Signing Required.
7. Managing the Signature Process
You can remind applicants by clicking Remind.
Need to make changes? You can:
- Cancel the signature request – this stops the lease from being signed
- Edit the lease – this cancels the current request, sends the app back to In Progress, and updates the status to Review Required. Applicants will need to resubmit once you've made changes
- Cancel the lease – this ends the lease and application, making the unit available again
8. Help Applicants Sign In Person
Go to the People tab and click Sign to assist applicants with in-person signing.
Alternatively, mark the lease as Signed to keep things moving—just note that the document will remain unsigned by the applicant.
9. Landlord Signature
Once all applicants have signed, the lease moves to Landlord Signing Required. The assigned agent will be notified to sign.
10. Lease Becomes Active
After the landlord signs, the lease status updates to:
- Upcoming – if the lease start or move-in date is in the future
- Active – if the start date is today or in the past
